What are the responsibilities and job description for the Facilities Leader - Indirect Buyer position at Rotating Machinery Svcs Inc?
JOB SUMMARY:
This individual will have a well-rounded understanding of building operations and facility management. They must have strong negotiation skills and able to evaluate contracts and terms and conditions. Monitor work with contractors to maintain building operational functions and quality of services provided throughout the RMS buildings, Bethlehem. Source new services or suppliers related to all facilities operations as needed. Have strong organizational and computer skills in multiple database input and maintenance as well as being proficient in Microsoft office suite including Word, Excel, and PowerPoint. Also, this person will need to be a self-starter having procurement / materials management background in indirect commodities, services and be able to multitask affectively prioritizing facility’s needs.
RESPONSIBILITIES:
- Supports Director of Materials and facility services by taking a lead with managing building maintenance supplier quality.
- Point of contact internally for all building related maintenance issues and requests.
- Review and coordinate and place yearly contract service renewals.
- Initiate communications with suppliers to resolve service issues.
- Review and confirm monthly billing as per agreed contracts.
- Support shop and building operations with all required maintenance services
- Forklift Maintenance schedules.
- Crane Maintenance schedules
- Shop compressor maintenance schedules.
- HVAC- maintenance
- Entry and Alarm systems.
- Utilities – Water, Gas, Sewer, Electric contracts
- Shop machinery services, mechanical or electrical.
- Fire prevention yearly inspections and maintenance.
- Sprinkler’s, alarm panels Fire extinguishers, emergency lighting
- Fire alarm and Burglar monitoring.
- Works with Safety team to perform Fire Drills yearly.
- Water cooler contracts and maintenance
- Pest Control Contracts
- Outside Lawn / snow removal.
- Garbage and waste removal contracts
- Window cleaning twice annually
- Fertilization contracts
- Outside lighting
- Plumbing repairs and maintenance
- Facility cleaning surveillance and annual contracts for all Bethlehem locations
- Parking lot sealing and preventative maintenance.
- Schedules and monitor build maintenance contractors to perform services at required intervals.
- Manage and support HR with facility keys ordering per (Keying Master)
- Manage and maintain service supplier contracts in Master file.
- Develop new suppliers and contracts to support all maintenance requirements for all Bethlehem sites.
- Manage weekly shop uniform / rugs / towel delivery and bill reconciliation.
- Order periodic shredding services for document removal.
- Coordinate and manage any building additions.
- Work with Township for any required permitting.
- Work with property managers for Bethlehem leased sites.
- Manage office equipment leases and purchases (All RMS sites).
- Implementation of cost saving strategies on office equipment Copiers / computers needs as required and work to reduce operating costs when adding and replacing equipment. (All RMS Locations corporate wide)
- Order Facility CAPEX items up to 40K, over 40K will require review and approval from Director of Materials
- Create CAPEX requests for major facility purchases.
- Maintain any Internet, and Cable contracts with ISP.
- Ordering office furniture and setups as required.
- Manages multifunctional devices, trouble shooting of issues, replace cartridge’s Call for service. Reconcile quarterly bills.
- Assist in planning and coordination of company events throughout the year.
- Manage supplier on site contractors’ certificates of insurance with Purchasing administrator support.
- Manage and purchase-Verizon Cell phones and contracts, equipment, and billing reconciliation across all sites.
- Manage flags displayed at office and order replacement, and inventory on hand.
- Lights replacement inside and outside of facility
- And other purchasing / facility related tasked not limited to the above.
EDUCATION:
- Bachelor's degree in business or related field preferred.
TRAINING REQUIREMENTS:
- Department operating processes
- Negotiation methods
- Job Boss use
KNOWLEDGE REQUIREMENTS:
- Knowledge building operations, facilities, general maintenance practices
- Strong organizational, communication and computer skills required.
- Proficient in the use of Microsoft Excel, Word, and PowerPoint Required
- Strong Purchasing experience
- Experience in contract review, creating new contacts for service.
- Understanding of legal terms and conditions on supplier contracts
- General office organization practices
EXPERIENCE:
- 4-5 years experience in purchasing, materials management and planning required
- 4-5 years experience in supporting and managing facilities maintenance programs
- 2-3 years experience supervising, reviewing and training of personnel
OTHER INFORMATION:
- Physical requirements-lifting up to 30 lbs
- Must have a valid drivers license
- Must be able to pass a pre-employment background check and drug screening
- Travel may be required.
- Evenings and weekend depending on schedule/needs.
- Able to understand, read, write and speak English.
