Event Operations Coordinator

Position Overview
We are seeking a hands-on and detail-oriented Event Operations Coordinator to oversee on-site event execution, venue logistics, and staff coordination. This part-time role is ideal for someone with bartending and restaurant experience who thrives in fast-paced environments, excels at problem-solving, and enjoys being part of unforgettable events.
Key Responsibilities
Event Execution & Venue Management
- Serve as the on-site point of contact for clients, vendors, and staff on event days.
- Oversee venue logistics, including audio, lighting, and presentation setup.
- Ensure smooth transitions between ceremony, cocktail hour, dinner, and reception.
- Coordinate with caterers, bartenders, and vendors to ensure readiness and efficient service.
- Supervise and assist with bar operations as needed, ensuring smooth service and compliance.
- Manage event staff assignments for setup, room turnover, and breakdown.
- Quickly troubleshoot and resolve any on-site issues to ensure seamless events.
Client Sales & Event Pre-Planning (when available)
- Conduct in-person meetings with prospective clients, including brides, corporations, event coordinators, and community organizations.
- Showcase the venue’s offerings and help clients visualize their event at our space.
- Assist with event pre-planning to ensure all details align with the client’s vision.
- Communicate with clients and vendors to ensure all pre-event details are finalized.
Venue Setup & Maintenance (as needed during the week)
- Assist with event setup during the week to ensure the space is event-ready.
- Ensure bar, catering areas, and facilities are clean and stocked before and after events.
- Monitor bar supplies and event-related inventory to ensure smooth operations.
Qualifications & Skills
- 2 years of experience in bartending, restaurant, or hospitality industry.
- Prior event operations, venue management, or catering experience is a plus.
- Excellent customer service and communication skills.
- Strong ability to multi-task, problem-solve, and manage time efficiently.
- Comfortable with basic audio/visual and lighting systems (training provided).
- Hands-on leadership skills with the ability to direct and manage teams effectively.
- Available to work weekends, evenings, and some weekdays for event setup as needed.
