Position Summary:
The HR Assistant will perform a variety of administrative duties to support the operations of Human Resources. This role includes providing essential administrative support to the HR function, such as maintaining records, managing file systems, and entering data into the HRIS. Additionally, the HR Assistant will perform tasks and services that contribute to the effective and efficient operations of the organization.
This role involves hands-on presence on the floor, leading by example, and providing direction to new hires in addition to training and support of team members in other functions. The HR Assistant ensures that all policies and procedures are followed in compliance with company standards, safety protocols, and regulatory requirements.
Duties and Responsibilities:
1. Administrative Support to the HR Function:
- Answer and direct departmental phone calls.
- Receive and send emails.
- Answer frequently asked questions from applicants and employees related to standard policies, benefits, hiring processes, etc.; refer more complex questions to appropriate senior-level HR staff or management.
- Make photocopies; mail, scan and email documents; and perform other clerical functions.
- Assist the full cycle recruitment process including but not limited to posting open positions, tracking candidates, providing regular reporting on process, screening resumes and/or applications, scheduling interviews, extending offer letters, facilitating onboarding, and conducting orientation.
- Prepare onboarding documentation.
- Ensure accurate completion and record retention of all new hire/rehire/onboarding documentation including I-9 documentation.
- Create new and activate rehired employee records in HRIS.
- May assist with payroll functions including processing, answering employee questions, fixing processing errors, and distributing checks.
- Process required paperwork for employee transfers, changes in job classification, salary increases, and other related employment matters.
- Assist with workforce scheduling and timekeeping as needed or assigned.
- Assists with processing of terminations as needed or assigned.
- May assist with preparation of human resource reports such as attendance, new hire, and turnover reports.
- Schedule meetings and interviews as requested.
- Assist with planning and execution of special events as needed or assigned.
2. Safety and Compliance:
- Maintain a safe working environment by ensuring that all safety and food safety protocols and Good Manufacturing Practices (GMPs) are followed, Personal Protective Equipment (PPE) is used properly, and hazards are addressed promptly.
- Properly report any safety incidents or near misses in accordance with company policies and procedures.
3. Continuous Improvement:
- Participate in continuous improvement initiatives and encourage team members to contribute ideas for enhancing operational efficiency and employee engagement.
4. Documentation and Reporting:
- Ensure completion of reports and record updates as required.
- Ensure accurate documentation as assigned.
- Promptly and clearly communicate any issues or delays to the appropriate stakeholder(s).

Position Qualifications:
1. Required:
- High School Diploma or GED
- Bilingual English/Spanish skills
- Excellent organizational skills and attention to detail
- Excellent interpersonal and customer service skills
- Ability to function well in a high-paced and at times stressful environment
- Ability to operate general office equipment
- Excellent written and verbal communication skills
- Proficient in Microsoft Office Suite or similar software
- Ability to maintain confidential information
2. Preferred:
- Intermediate skill and ability in MS Office and standard office equipment
- One (1) year of office experience
