Summary:
As the Director of First Impressions, you will be responsible for managing guest relations for our busy real estate and rental office.
Primary areas of responsibility include providing best in class hospitality to external clients, business partners, and vendors, directing incoming phone calls, managing the internal meeting spaces, and general office administration.
Duties and Responsibilities:
To perform this job successfully, an individual must be able to perform each essential duty satisfactorily.
- Front desk duties, greeting visitors, arrivals, departures, and dealing with tenant and owner issues
- Effectively direct incoming phone calls from a multi-line phone system while providing excellent customer service
- Warmly greet incoming guests and checkouts for rental units, as well as vendors and owners
- Coordinate and post Agent floor schedules each month and add schedules into AppFiles
- Maintain records in Appfiles
- Assist Realtors and rental agents with day-to-day tasks and administrative duties such as proofing, marketing, listing, and pending paperwork
- Serve as a back-up for the office manager
- Manage internal meeting spaces, and general office organization
- Responsible for maintaining office supply Inventory
- Assist office manager with file compliance
- Assign floor calls and walk-in leads to agents
- Enter leads in the CRM in Streamline
- Assist with coordinating maintenance calls
- Process all incoming rental payments and deposits daily and enter in AppFiles
- Process e-checks for guests and owners
- Credit card processing
- Distribute all incoming mail to appropriate personnel
- Maintain key inventory for Annual and Seasonal properties
- Place key packets in lobby for after-hours check-ins
- Keep the office neat, tidy, and well maintained at all times
- Sign for vendor services and send invoices to corporate
- Check after-hours drop box each day
- Run daily reports for new reservations; verify balances
- Other tasks as required
Experience and Qualifications:

- Must have reliable attendance and transportation
- Minimum of 1 year of experience in a real estate and/or property rental company in a similar position
- Associates degree preferred but not required
- Proficient with Microsoft Office applications, including Word, Outlook, Excel and PowerPoint
- Proficient in the use of PC/laptops, printers, copiers, scanners, fax machines and multi-line phones
- Experience with AppFiles a plus
- Experience with Streamline a plus
