We are seeking a Senior Payroll and Tax Specialist (30 hours/week) to lead and manage payroll processing and tax compliance functions. This role is critical in ensuring payroll accuracy, adherence to federal, state, and local tax regulations, and continuous process improvements. The ideal candidate is detail-oriented, analytical, and experienced in multi-state payroll and tax reporting.

 Responsibilities:

  • Payroll Processing: Manage and process end-to-end payroll for 150 employees across multiple states (4payroll cycles/month), ensuring accuracy and compliance, including facilitation of off-cycle payroll requests, as necessary, for items such as terminations and bonus payments.

·       Tax Compliance: Oversee payroll tax reporting and compliance with federal, state, and local tax regulations, including filings, payments, and reconciliations. Respond to federal and state payroll tax notices in a timely manner.

  • System & Process Optimization: Maintain and improve payroll systems (iSolved/Unanet), ensuring efficient workflows and automation where possible.  Work with accounting to determine payroll deliverable dates to facilitate the closing calendar.
  • Audits & Reconciliations: Conduct periodic payroll audits, resolve discrepancies, and ensure general ledger accuracy.
  • Year-End Reporting: Work with payroll vendor to prepare and review W-2s and other applicable year-end tax documents.
  • Regulatory Updates: Stay informed of changes in payroll tax laws, unemployment rate changes in all states in which we have employees and ensure company compliance with evolving regulations.
  • Employee Support: Address payroll-related inquiries and educate employees on payroll policies and procedures.
  • Collaboration: Work closely with HR, Finance, and external vendors to ensure seamless payroll operations. Prepare Excel payroll reconciliation files that accounting needs to create and post payroll journal entries in Unanet.
  • Education: Bachelor’s degree in Accounting, Finance, Human Resources, or a related field preferred.
  • Experience: 5 years of payroll and tax experience, preferably in a multi-state or government contracting environment.
  • Technical Skills: Proficiency in payroll and T&E systems (e.g., iSolved/Unanet) and advanced Excel skills.
  • Government Contracting: Experience and understanding of Government Contracting, including Service Contract Act (SCA)
  • Knowledge: Strong understanding of payroll tax laws, FLSA, and IRS regulations
  • Attention to Detail: Ability to manage complex payroll functions with precision
  • Problem-Solving: Strong analytical and troubleshooting skills to address payroll discrepancies.
  • Certifications: CPP (Certified Payroll Professional) or FPC (Fundamental Payroll Certification) preferred.
