Receptionist

Primary Duties:
- Meeting and greeting tenants, clients and visitors
- Answering phone and directing callers to appropriate extension, take accurate messages
- Screening incoming call and handling other communications/following up. Make calls and schedule appointments for CEO & President
- Distribute incoming mail and packages, check Mailroom mailbox downstairs daily. Bring outgoing mail to the mailroom
- Performing general clerical duties including filing and data entry
- Provide administrative support to CEO & EVP and the team when requested
- Perform general office work such as, opening/sorting incoming mail, monitor incoming faxes and distribute, outgoing mail including USPS, FedEx, UPS & certified mailings, filing, scanning, assist with mailing rent bills and other mailings and ordering stamps.
- Create memos, letters and general correspondence when requested.
- Screen emails from general receptionist & COI email and prioritize accordingly, also general voice mail box.
- Certificates of Insurance-track, log and follow up with tenants, vendors and insurance brokers for accuracy and check expiration dates to insure current certificate on file. Utilizing Building Engines
- Assist in monitoring status of IT requests and Mitel Phones
- Oversee office calendar, stay up to date on meetings and send out meeting reminders as needed.
- Maintain cleanliness and orderliness of office. Perform morning / afternoon review of all common areas in the office (conference rooms, copy rooms, kitchen, library and file room and reception area) and ensure cleanliness, fully stocked and aesthetic presentation.
- Restock items Order teas, coffee, kitchen supplies, office supplies and custodial supplies as needed. Maintain printer supplies. Maintain operation of office equipment and printers.
- Maintain Filing and files for A/P, assist Accounting Department, assist with timecards
- Assist Tenants and Property Managers with any Building Engines requests or Tenant requests.
- Assist with making sure spaces open for brokers to show space.
- Prioritize and manage daily to do list to make sure timely follow up is occurring
- Follow up on tenant complaints to insure resolved
- Assist in the scheduling of all of conference rooms
- Assist in set up of new employee set up, coordinate set up of computer, phone, supplies, phone list, basic phone instruction, etc.
- Act as a source for corporate office information (location of first aid supplies, meeting supply needs and office supply needs
- Water plants
- Performs other related duties, special projects and assignments as necessary.
Required skills: Strong organizational skills, attention to detail, overall communication skills (telephone, email, verbal), follow- up and follow thru skills, strong computer skills, dependability, team player, must be able to work efficiently under limited supervision and be organized.
Job Type: Full-time
Pay: $65,000.00 - $67,000.00 per year
