What are the responsibilities and job description for the Fleet Manager (I) position at RSKS ADMINISTRATIVE SERVICES INC?
Position Summary
The purpose of this position is to provide leadership and support to team members on our Driver Team.
Some of these areas include but are not limited to production, payroll, customer service support, human resources support, and safety support.
Primary Daily Responsibilities
● Updating the ETA’s for all driver on the assigned team
a. Will utilize Samsara to calculate transit times and ETA’s
● Identifying and scheduling PM’s that are due (tractors and trailers)
a. Must be done efficiently in regards to Hours of Service, Out-Of-Route Miles, Shop Hours (includes vendors), driver’s attendance schedule, and driver’s parking location
b. Will audit driver log books to ensure that drivers are complying with federal, as well as Fraley & Schilling guidelines. Drivers must utilize their clock effectively and efficiently, while remaining safe and legal
● Will manage/address any missing paperwork from drivers assigned to the Operations Team
● Will manage/audit Per Diem for the Fleet Manager Team weekly on Monday
● Coverage for attendance, meeting, etc for other members of the team
Safety / Human Resources
● All Operations Team Members must complete the online safety training each month
● Fleet Managers must ensure that his/her assigned driver team completes online safety training each month
● Will report any injuries (or potential injuries) immediately upon being made aware
● Will record any attendance events
a. Unscheduled absences of more than 24 hours must be reported to Human Resources
● Will assist with ensuring the drivers remain compliant with all Safety & Human Resources requirements including, but not limited to: Valid Driver’s License, Valid Physical, Annual Reviews, Return To Work Authorization, etc
Maintenance
● All equipment assigned to each Fleet Manager Team must be scheduled for PM’s based upon using a combination of the TMW light system, routine PM Reports, and the SSRS - PM Tractors
● All maintenance related events should be documented in TMW as a maintenance related event (PM-Tractor, PM-Trailer, Breakdown)
Billing / Payroll / Administration
● All active payroll processes must be followed per the policy, including but not limited to:
a. Weekly Minimum Pay
b. Layover / Breakdown / Detention Pay
● All Operations Team Members will enter / submit all pay for the previous week pay period by no later than 12:00 on Monday each week
● All Per Diem will be complete no later than 17:00 on Monday
● Will assist the Billing / Payroll Team with any missing paperwork or unbilled revenue issues.
a. Must ensure all drivers assigned have all paperwork submitted by no later than end of scheduled shift each Monday
b. In the case that team member is unable to assist in providing required paperwork he / she must provide a detailed resolution to acquire paperwork
Production
● Will set clear expectations for drivers for performance standards (loading, delivery, communication, etc)
● Will manage driver production with both the driver and the planning team to ensure 100% of production goals are met
● Will work with the team to ensure that the driver is planned no less than 4 hours in advance with a goal of 24 hours in advance. This will be accomplished by ensuring TMW ETA’s are updated, as well as working closely with the Planning Team
● Will perform coaching on any driver who is over 60 days fails to average 90% of production goals for a 4 week period
Miscellaneous
● Must arrive and be ready to work at the assigned / scheduled start time
● Will comply with all company policies as described in the F&S Employee Handbook
● Will ensure that any necessary software programs (TMW, etc) and / or reports are updated and accurate
● Will create and maintain relationships with driver force to ensure retention and productivity
● Will update, communicate, and enforce all company policies and procedures
