Billboard Leasing & Office Administrator

Reports to: General Manager

Type of Position: Full Time, exempt

Essential Functions

  • Process and track all incoming and outgoing payments, ensuring that all transactions are recorded accurately and promptly.
  • Regularly reconcile bank statements and ensure that all accounts are balanced, and discrepancies are resolved in a timely manner.
  • Perform monthly credit card reconciliations, ensuring that all expenses are categorized correctly, and statements are paid on time.
  • Assist the accounting department with monthly audits, ensuring that financial records are complete, accurate, and in compliance with internal controls.
  • Manage and track sign permits, ensuring timely renewals and compliance with all relevant regulations.
  • Provide general accounting department support, including filing, data entry, and preparation of reports as needed.
  • Maintain and organize electronic and physical lease files for R&R Outdoor and Ruby Falls.
  • Draft leases for new and existing billboard locations.
  • Collaborate with the General Manager to negotiate lease renewals.
  • Research and update lease agreements due to property ownership changes, including sales or inheritance.
  • Coordinate with the Department of Transportation (DOT) to verify legal site eligibility for new billboard construction.
  • Assist in the collection of overdue accounts.
  • Serve as the first point of contact for incoming calls, directing inquiries appropriately.
  • Provide support to prospective clients by relaying information to the sales department.
  • Manage general filing and document organization for operational efficiency.
  • Assist in the preparation of monthly reports for the General Manager.
  • Assist the accounting department with various other duties as required to support the smooth operation of financial activities.

Work Environment Work is regularly performed in an office environment.

Required Education and Experience

  • Bachelor's degree in business, accounting, billboards or related field
  • Minimum of 2 years in office administration, accounting, or related field. Experience in billboarding leasing is a plus.
  • Exceptional verbal and written communication skills with both internal and external stakeholders.
  • Intermediate to Advanced level Excel proficiency.
  • Experience in a customer service focused company is a plus.

Physical Demands

  • Prolonged periods of sitting at a desk and working on a computer.
  • Occasional walking, lifting, bending, stooping, reaching and carrying.
  • Mental alertness to achieve high level of accuracy and manual dexterity to operate a computer and other office equipment.
