Billboard Leasing & Office Administrator
Reports to: General Manager
Type of Position: Full Time, exempt
Essential Functions
- Process and track all incoming and outgoing payments, ensuring that all transactions are recorded accurately and promptly.
- Regularly reconcile bank statements and ensure that all accounts are balanced, and discrepancies are resolved in a timely manner.
- Perform monthly credit card reconciliations, ensuring that all expenses are categorized correctly, and statements are paid on time.
- Assist the accounting department with monthly audits, ensuring that financial records are complete, accurate, and in compliance with internal controls.
- Manage and track sign permits, ensuring timely renewals and compliance with all relevant regulations.
- Provide general accounting department support, including filing, data entry, and preparation of reports as needed.
- Maintain and organize electronic and physical lease files for R&R Outdoor and Ruby Falls.
- Draft leases for new and existing billboard locations.
- Collaborate with the General Manager to negotiate lease renewals.
- Research and update lease agreements due to property ownership changes, including sales or inheritance.
- Coordinate with the Department of Transportation (DOT) to verify legal site eligibility for new billboard construction.
- Assist in the collection of overdue accounts.
- Serve as the first point of contact for incoming calls, directing inquiries appropriately.
- Provide support to prospective clients by relaying information to the sales department.
- Manage general filing and document organization for operational efficiency.
- Assist in the preparation of monthly reports for the General Manager.
- Assist the accounting department with various other duties as required to support the smooth operation of financial activities.

Required Education and Experience
- Bachelor's degree in business, accounting, billboards or related field
- Minimum of 2 years in office administration, accounting, or related field. Experience in billboarding leasing is a plus.
- Exceptional verbal and written communication skills with both internal and external stakeholders.
- Intermediate to Advanced level Excel proficiency.
- Experience in a customer service focused company is a plus.
Physical Demands
- Prolonged periods of sitting at a desk and working on a computer.
- Occasional walking, lifting, bending, stooping, reaching and carrying.
- Mental alertness to achieve high level of accuracy and manual dexterity to operate a computer and other office equipment.
