Summary:
The Project Coordinator is responsible for organizing, managing, and executing all stages of print production, from prepress to final delivery. This role ensures that client specifications are met on time by coordinating with internal teams, managing job details in Tharstern, and overseeing quality assurance processes. Acting as a key liaison between the Account Coordinator and the production team, the Project Coordinator ensures seamless project execution through efficient planning and communication.
Responsibilities (Included but not limited to):
- Prepare and distribute detailed job tickets outlining requirements and specifications for each project.
- Coordinate with Prepress to update artwork, and ensure designs meet client specifications.
- Oversee quality assurance reviews and compare artwork with client-approved designs before production.
- Manage project planning by creating and updating production schedules to track milestones.
- Communicate with external vendors to source materials, confirm timelines, and negotiate pricing.
- Generate and provide accurate postage estimates as needed.
- Ensure the accurate assembly and hand-off of all materials, i.e., labels, reports, and breakdowns.
- Identify potential risks or delays in project timelines and proactively work to resolve them.
- Oversee the creation of delivery notes and maintain accurate documentation for all project deliveries.
- Maintain and update project files in internal systems, documenting communications, approvals, and project updates, while monitoring spreadsheets for materials and project details.
- Prepare pre-bill documentation and update invoices accordingly in Tharstern.
- Follows all company policies and procedures
- Complete and demonstrate a full understanding of ongoing training concepts and applications Emulate Runbeck values in daily interactions with internal and external customers.
- Meet company standards for quality and quantity of work.
- Adhere to all company policies, procedures, and directives, maintaining professional workplace behavior and regular attendance.

Key Requirements:
- Experience in project planning, coordination, or print production management.
- Familiarity with print production processes, prepress work, and quality assurance protocols.
- Strong organizational and multitasking abilities to manage multiple projects and deadlines simultaneously.
- Proficiency in using software like Tharstern for job tracking, estimates, and project management.
- Ability to communicate effectively with internal teams and vendors to manage expectations and ensure project success.
- Knowledge of USPS mailing processes and data management for print projects is a plus.
