Administrative Assistant (AA)
Job Description and Profile
The Administrative Assistant (AA) will support Rural Nevada Counseling (RNC); the Agency by providing exemplary customer service skills, telephone etiquette, administrative and clerical support to the Agency’s staff, site office managers, and the Agency’s patients. The AA is highly organized and is responsible for scheduling patients for services to be performed by the Agency’s staff either on a one-to-one appointment, group sessions or transports as required. The AA is responsible for collecting payments for all Self-Pay client’s when applicable. The AA is a qualified individual who possess the skills and abilities to work collaboratively with and under the Clinical Supervisor and Site Office Manager. The AA greets visitors, answers the telephones and triage calls as appropriate, and/or takes messages. The AA performs clerical duties to include receiving incoming mail, submissions, faxes, and correspondence and distributing to appropriate individuals, order and maintain sufficient office and lab supplies, maintain the offices in clean, orderly manner, and perform data entry. The AA will develop reports in Electronic Health Record (EHR) as requested, create, and maintain general office files, photocopies, and files documents either electronically or in printed format, provides general administrative and clerical support to all office staff and management, makes travel arrangements for management and staff as requested, takes and transcribes meeting notes as requested. Attends trainings, continuing education and meetings as required.
Reports Directly to: Site Office Manager
Duties and Responsibilities
- Schedule patients for one-on-one appointments, group sessions and transports as needed and directed
- Collect and process receipt of payments from Self-Pay patients
- Answer telephones, triage calls and/or take complete and accurate messages and ensures timely distribution of messages
- Order and maintain all office supplies and may be required to order lab supplies
- Greet visits, clients, patients, vendors and assist to direct them as appropriate
- Process and distribute correspondence, incoming mail, faxes, applications, submissions and distribute appropriately and timely
- Maintain the offices and all rooms clean and orderly and sanitization
- Perform data entry and build reports in Electronic Health Record as requested
- Create files and file paperwork, make copies, distribute documents as needed
- Provide general administrative and clerical support to all office staff and management
- Participates in all required trainings and attend continuing education classes as required
- Other duties, responsibilities, and assignments as needed
Education, Qualifications and Experience
- Pass FBI Criminal background check
- Must be a citizen of the United States or is lawfully entitled to remain and work in the United States –proof of citizenship or proof that an applicant is able to work in the United States
- Pass any drug testing as required by the Agency
- Must be drug and alcohol free. The candidate must have at a minimum 2 years of sobriety
- Must be over 21 years of age
- Drivers History Report with no major violations
- Minimum high school diploma or GED, AA Degree or some college preferred
- Two (2) years minimum clerical and administrative experience
- Ability to work collaboratively with colleagues
- Ability to follow all privacy and confidentiality policies, practices, and laws
- Able to maintain confidentiality of sensitive documents and information
- Excellent written and verbal communication skills
- Exemplary customer service and telephone etiquette skills
- Excellent interpersonal, and strong oral and written communication skills
