The Maintenance Planner is responsible for assisting the organization in achieving effective asset performance through the systematic application of work planning and data management. Provides a key link in the Work Management process, being responsible for the proactive portion of maintenance activities.   The Planner is expected to identify, plan and coordinate activities that will be performed in the future and assist with emergent needs as they arise.

Basic Function and Overview:
 The Maintenance Planner is expected to improve work force productivity and work quality through the planning and coordination of labor, parts, material, tools, equipment access, documentation, and work area access within the CMMS program. This person will also prepare a weekly schedule of work to execute and share it with Plant Managers/Operation Manager/Superintendents/Forman’s and Maintenance Director.
 
Duties and Responsibilities:

  • Create complete and accurately planned work orders. Work orders will include estimated man-hours requirements, special skill requirements, drawings, manuals, special procedures, bills of material, kitted parts, special tools or equipment, permit and inspection requirements, safety evaluation, and pre-job safety checklist and vendor information.
  • As required, conduct a field check associated with the equipment in the work order to gain a complete understanding of the task involved enabling the Planner, from first-hand knowledge, to prepare an accurate job package or work order. As appropriate, meet with Operations and Managers.
  • Walk with Production or Plant Managers and Maintenance Director to understand the scope of materials, Job Hazards, manpower, and specialty equipment needed to complete the work.
  • Working in conjunction with the Maintenance Director, construct the fully completed daily, weekly, monthly and annual PM schedules, as needed, Database Management using CMMS System.
  • Assist in supervising work in the field when needed.
  • Lead Weekly Work Order Prioritization and Scheduling meetings with Superintendents, Operations Manager and Maintenance Director and monthly meetings with Plant Managers.  
  • Collaborate with production, engineering, safety, maintenance, and other related groups to properly plan all maintenance activities.
  • Own and manage all preventative maintenance scheduling plans for Plant Equipment and Emulsion Trailers. 
  • Accountable for developing, maintaining, and communicating maintenance work order metrics to the maintenance shop, vendors as well as site managers.
  • Participate, as necessary, in routine monthly reliability-centered maintenance studies focused on the elimination of trending bad actor equipment.
  • Participating in budget development for yearly maintenance spend.
  • Schedule, and coordinate preventive/predictive maintenance and emergency maintenance requirements with plant managers/maintenance managers and outside contractors, while minimizing impact on production and operations.
  • Plan and coordinate availability and pre-positioning of parts for maintenance work; make recommendations regarding consolidation and reduction of inventory and use of just-in-time inventory.
  • Estimate labor required to complete work orders and communicate this information to maintenance management in a timely manner.
  • Administer the Computerized Maintenance Management System (CMMS)and Viewpoint -ensuring that all relevant equipment maintenance data are keyed into the system in a timely manner; maintain detailed archive files on plant equipment and support equipment.
  • Work with the Plant Managers and other pertinent personnel to set up and implement practices and procedures for proper distribution of all parts/supplies.
  • Audit PMs and workorders, verifying that they are filled out correctly. If there are deficiencies makes required corrections for review by the Maintenance Director prior to closure of work orders and ensuring other database has updated information as required. 
  • Write PMs as needed on new equipment as the machines are being installed. Preventative maintenance plans set in motion as directed by Plant Managers/Maintenance Superintendents and Director.

ESSENTIAL FUNCTIONS:

  • Interpersonal Relationships
    • Work closely with Maintenance/Operation and Plant Managers. 
    • Provides input for ordering unanticipated materials and supplies.
    • Communicate support and resource requirements to Operations, Engineering, Contractors, Contractor Administrator and Vendors Procurement
    • Provide an active role for weekly and look ahead planning.
  • CMMS Management and Project Management
    • Ensure the quality of the database.
    • Set up all Jobs in Viewpoint with applicable phases.
    • Review of data input to maintain quality
    • Periodic review and update of information contained in the database PM’s, Repairs, Labor, Vendor Cost etc.
    • Ensure all Work Orders/Job Numbers inputs contain all relevant data for repairs.
    • Support PM Program
  • Support the Analysis Process
    • Ensure completed data on work orders/jobs (projects) is accurate and up to date prior to closing.
    • Recommend changes and modifications to equipment and procedures that will result in improved performance and reliability.

    • Technical info/sketches/drawings
    • Safety/environmental requirements
    • Operating conditions
    • Input and reviewing required data - CMMS/Viewpoint and other supported databases as needed.
    • Safety always. 
    • All special requirements/documentation for the job
    • Craft instructions
    • Perform pre-job safety check.
    • Perform lockout/tagout and Confined Space notify operations.
    • Work order ownership ensures all information is correct in all areas.
  • And Other duties as assigned or needed.

QUALIFICATIONS: 

Education/Certification:          4-year degree

Experience Required:              2-5 years’ experience in the asphalt industry 

                                                CMMS experience preferred.

                                                Experience with Viewpoint software preferred.

                                                Able to use PC, calculator, and MS office (excel, word)

WORKING CONDITIONS AND PHYSICAL DEMANDS: 

Travel:                        Travel required.                        

Physical Requirements:             While performing the duties of this job, the employee must be able to:

Perform sedentary work, which includes sitting a majority of the time, yet occasionally exerting up to ten pounds of force. Must have the ability to see, hear, talk and perform tasks requiring manual dexterity. Operate standard office equipment including a computer, copier, fax, phone and other similar office equipment.
