We are looking for a detail-oriented and organized individual to fill the role of HR Benefits Administrator on a temporary basis. This position will be a key support to our Human Resources team, focusing on the effective administration of employee benefits. The ideal candidate will possess experience in benefits management, strong organizational abilities, and a capacity to thrive in a dynamic work environment.
MAIN RESPONSIBILITIES
- Facilitate the benefits enrollment process for new hires, including registration in the ADP system.
- Manage and process benefits enrollments and changes.
- Ensure all employees receive their insurance cards and relevant documentation.
- Provide assistance to employees during Qualifying Life Events (QLEs).
- Prepare and submit the weekly report for 401(k) submissions.
- Conduct audits of beneficiaries and loans to ensure compliance.
- Oversee and track adjustments to Health Savings Account (HSA) deductions.
- Guide employees through the process of creating 401(k) accounts, rollovers, distributions, and address general inquiries.
- Reconcile invoices related to 401(k) contributions for accuracy.
- Develop and maintain Standard Operating Procedures (SOPs) for critical tasks related to benefits administration.
- Conduct audits concerning domestic partner benefits.
- Ensure adherence to company policies and regulations regarding employee benefits.
- Assist with the processing and paperwork related to the Family and Medical Leave Act (FMLA).
- Collect LOA forms and necessary documentation in a timely manner.
- Monitor and follow up on employee return-to-work statuses.
- Create and distribute letters detailing benefits owed, following up as needed.
- Execute enrollment audits for insurance providers such as UMR, Client, and Wex (COBRA).
- Coordinate payroll deductions tied to LOA and manage accurate processing.
- Provide employees with clear information and guidance on leave policies.
- Monitor and respond to inquiries received at the designated email inbox.
- Assist with employment verification requests as needed.
- Maintain accurate employee records through scanning and organizing documentation.
QUALIFICATIONS
- Relevant experience in HR benefits administration, payroll, or employee benefits support is preferred.
- Proficiency in HRIS platforms (such as ADP), Microsoft Office Suite (Excel, Word, Outlook), and benefits management software.
- Excellent written and verbal communication skills, demonstrating professionalism when interacting with employees and external vendors.
- Ability to accurately manage multiple tasks in an efficient manner.
- Strong ability to monitor and follow through on benefits enrollments, audits, and compliance activities.
- Capable of handling sensitive employee information with integrity and discretion.
