Some Key Responsibilities

  • Act as a trusted advisor to the CEO, ensuring a deep understanding of strategic goals, financials and initiatives.
  • Convert high-level strategic visions into detailed operational plans, ensuring clarity and alignment across all departments.
  • Organize and lead strategic alignment sessions with department heads to ensure consistent understanding and execution of the CEO's vision.
  • Develop and implement tracking mechanisms to monitor progress towards strategic goals, providing regular updates to the CEO and executive team
  • Create administrative systems that are scalable and adaptable to evolving business needs, ensuring they integrate seamlessly with existing processes.
  • Identify and implement cutting-edge technology solutions to enhance operational efficiency, data management, and communication within the organization.
  • Oversee portfolio of revenue streams and administrative oversight.
  • Employ advanced portfolio management tools to track milestones, identify potential risks/opportunities and facilitate timely interventions.
  • Coordinate with cross-functional teams to ensure optimal allocation and utilization of resources, resolving any conflicts or bottlenecks that arise.
  • Act as the primary communication link between the CEO and department heads, ensuring clear and consistent messaging regarding strategic initiatives, processes and follow through.
  • Organize and lead regular update meetings with key stakeholders to keep them informed, engaged and aligned with strategic objectives. Ensure proper follow through of action items.
  • Perform regular audits to ensure compliance with industry regulations, internal policies and financials. Address any issues promptly.
  • Foster a culture of accountability by implementing performance metrics, feedback systems and continuous improvement initiatives.
  • Ensure the smooth and efficient daily operations of the office, maintain a productive work environment and ensure administrative deadlines are met.
  • Maintain and improve office systems, including data management, filing systems and software,coordinate with vendors and service providers
  • Oversee employee evaluations and goal setting. Executing admin staff evaluations and goal setting.
  • Oversee day to day financials and forecasting.
  • Budget creation, execution and forecasting.
  • Coordinate regularly with financial advisors to ensure proper reporting, forecasting and planning.
  • Provide updates and documentation to financial and legal representatives to prepare for future business needs and protection.

Qualifications

  • Bachelor's degree in Finance, Business Management, Business Administration or a related field is required; Master’s degree is an advantage but not necessary.
  • Minimum of 5 years of experience in office management, project management, or a related strategic role, preferably within the excavation or construction sectors.
  • Proven ability to develop and implement operational strategies
  • Proficiency in QuickBooks, project management software and Microsoft Office Suite, with the ability to quickly adapt to new technologies.
  • Strong leadership and communication skills, capable of inspiring and guiding teams towards achieving strategic goals.
  • Analytical mindset with a focus on efficiency, problem-solving and continuous improvement.
  • High degree of professionalism and integrity, maintaining confidentiality and ethical standards.

Working Conditions

Office-Based Role: Predominantly office-based.

Work Hours: Full time salaried position with business hours Monday through Friday, 8:00 am to 5:00 pm

Pay: $90,000.00 - $115,000.00 per year
