Sales Administration Specialist
Sales Administration Specialist is a sales position responsible for supporting the sales team. This Position also maintains associated databases, facilitates the dissemination of pricing and other sales information, and may provide other support as necessary. The position requires interaction with customers.
Hours: Full-Time
Travel Requirements: Occasional travel to sales/ industry events, both local and out of town
Essential Functions
· Provide back-up for evaluation and quote rates for services at all of S.H. Bell’s warehouse locations from Order Entry and Rate Tariffs. Quotes include prices for packaging, storage, handling, and other services.
· Provide back-up for all customer rate requests not already established in Order Entry.
· Maintain accurate and up-to-date company database of rates quotations and other customer related communications.
· Assist customers and outside sales in responding to inquiries including but not limited to customer questionnaires, bank, agreements and warehouse contracts.
· Assist in maintaining documentation of labor, equipment, and supplies costs, to ensure that resulting billing rates are up to date. Communicate distribute information to designated parties and verify that the Rate Calculator contains accurate, up-too-date cost information.
· Work with finance on various profitability and Cost Accounting projects, as necessary.
· Assists customers and outside sales with a wide variety of inquiries including but not limited to customer questionnaires, bank agreements, and warehouse contracts.
· Assist the Sales Department regarding S.H. Bell's yearly rate adjustment.
· Coordinate Sales Team Meetings, including but not limited to setting each week’s meeting date and time, distributing meeting requests, tracking attended, and compiling/circulating the agenda in advance.
· Assist Sales team with scheduling, booking flights, hotels etc.
· Manages S.H. Bell's responsibilities with regards to the London metal Exchange and U.S. Customs requirements for bonded storage.
· Attend periodic industry related functions locally and out of state.
· Attend Sales Calls as necessary.
· Maintain quote follow up chart, and schedule quote follow up meetings with the Sales team. Potentially assist sales team with quote follow up and inquiry follow ups.
· Responsible for coordinating the sales team meetings and circulating the agenda for the meeting.
· Maintain, expand, and update Marketing material (Brochures, flyers, company logo gift items etc.), update company website (potentially help build a new one), and social media posts on LinkedIn
· Collaborate with Finance various profitability and Cost Accounting Projects, as necessary
· Various projects as needed.
Performance Standards
· Continuously monitor all customer communication channels (email, phones, fax) promptly acknowledge receipt (if a quotation is not instantly available), and provide 24- hour response on quotation excepts in unique circumstances.
· Maintain relationships with Terminal management, finance, and other functions to ensure all concerned parties are consulted and continuously apprised of rate changes and special terms.
· Prior to quoting, ensure 100% agreement among management and other key personnel on quotes, either because known rates have been established in Order Entry and standard rates reflect the current rate tariffs.
· Maintain a detailed understanding of S.H. Bell’s operations, capabilities, products, and billing/ invoicing functions.
· Maintain standard office hours to facilitate communication with traveling co-workers.
· Must be able to multitask, prioritize, and accommodate urgent and last-minute requests.
· Superior interpersonal skills for interacting with both internal staff and external customers on a daily basis.
Minimum Qualifications
Education/Equivalent Experience
· Bachelor's degree (BS/BA) from four-year College/University; and three to five years related experience and/or training; or equivalent combination of education and experience.
Certifications/Licenses
Valid driver’s license required for travel to other offices.
