Position Overview:
The Residential Construction Project Executive is responsible for the successful execution of residential construction projects, managing both the strategic and operational aspects of each project. The executive will oversee project teams, collaborate with clients, manage budgets, and ensure timely completion of residential construction projects.
Key Responsibilities:
Project Leadership:
- Oversee the planning, scheduling, and execution of residential construction projects from start to finish.
- Lead project teams including project managers, construction managers, Assistant Project Managers, foreman, carpenters and subcontractors to ensure project milestones are met.
- Act as a point of contact for clients, architects, engineers, and other stakeholders.
Budget & Financial Management:
- Develop and manage project budgets, ensuring that budgets are controllerd, and projects stay within financial paremeters.
- Review and approve subcontractor estimates, contracts, change orders, and purchase orders.
- Request payment from clients if they fall out of contracted payment terms.
- Track and report on financial progress, identifying potential financial risks and implementing solutions to clients and project teams.
- Track and report on financial progress to the General Manager on a weekly basis. The Project Executive is ultimately responsible for oversight of the project budget.
Schedule Management:
- Develop and manage project schedules.
- Review and update schedule with project team weekly.
- Track and report on schedule progress to General Manager on a weekly basis.
- Review and update the project team on schedule progress and any potential schedule delays. The Project Executive is ultimately responsible for the oversight of the project schedule.
Quality Control & Compliance:
- Ensure that all construction work meets the required quality standards, building codes, and safety regulations.
- Conduct regular site inspections and audits to verify adherence to specifications and quality standards.
- Manage the permitting and approval process to ensure compliance with local, state, and federal regulations.
Team Management & Development:
- Provide leadership and mentorship to project managers, assistant project managers and other team members.
- Organize and lead internal project meetings to discuss progress, challenges, and solutions.
- Ensure proper allocation of resources, managing labor, equipment, and materials for maximum efficiency.
- This role requires the ability to manage project teams, which includes individuals with diverse personalities and skill sets.
Risk Management & Problem Solving:
- Identify potential risks (financial, legal, or safety-related) and take proactive steps to mitigate them with approval from management.
- Resolve issues promptly, whether related to project delivery, client relations, or personnel.
- Manage and address any claims, disputes, or delays with contractors, vendors, and clients with approval from management.
Communication:
- Maintain effective communication with clients, architects, subcontractors, and regulatory bodies.
- Ensure client satisfaction by providing reuglar updates on project status, address concerns, and meeting expectations.
- This position requires regular meetings with the General Manager and other memebers of management to provide updates on project status to internal and external teams.
Business Development:
- Assist in the development of proposals and bids for new projects.
- Help cultivate relationships with potential clients, contractors, and industry partners to expand the company's business.
Client meeting oversight:
- Schedule a biweekly site meeting with the Project Management team to prepare for the biweekly client meeting.
- Attend and/or chair the biweekly site meetings with the clients as required.
- Applies detailed and hands-on knowledge of project requirements and deliverables.
- Ensure that the following items are completed before the meeting:
- The schedule is properly updated and reflects current information.
- The financial report is updated and ready for distribution.
- The current bills are paid and unpaid bills are followed up on.
- The meeting notes are up to date and action items from the last meeting have been completed.
- Any new work or change orders have been created and are ready for review at the meeting.
- All design questions are captured in the meeting minutes for discussion with the design team or owners.
Development:
- Visit job sites to check for quality and keep an eye on progress. Provide input on schedule updates and future forecasting of upcoming work for scheduling trades.
- Provide training sessions to staff on:
- How to read:
- Architectural plans
- Structural plans
- Steel shop drawings
- Shop drawings (cabinets, MEP drawings, window, lumber, etc.)
- Subcontractor quotes, geotechnical reports, etc.
- How to complete schedule updates in Smartsheet's.
- How to write change orders in Filemaker.
- How to use Bluebeam to complete take offs and properly estimate projects or change orders.
- How to properly communicate through email to clients, architects, and trade partners.
Day to day:
- Visit job sites weekly to review project deliverables with the project team.
- Meet with Senior leadership at least once a week to review progress of projects.
Qualifications:
- Bachelor's degree in Construction Management, Civil Engineering, Architecture, or related field (or equivalent experience).
- Minimum of 10 years of experience in construction project management.
- Strong knowledge of residential construction processes, budgeting, and scheduling.
- Excellent leadership, communication, and negotiation skills.
- Proven ability to manage multiple large-scale projects simultaneously.
- Familiarity with local building codes, permitting, and regulatory requirements in the Greater Boston area.
- Proficiency in construction management software (e.g., Procore, Smartsheet's, Bluebeam, etc.).
