As a Service Coordinator you will b responsible for scheduling, assigning, and dispatching field technicians to meet customer service requirements. The Service Coordinator administers customer inquiry responses, tracks work, and utilizes COINS (dispatch board, customer management and accounting software) database technology to generate reports.
The wage range for the Service Coordinator is $22.00 - $29.00, but dependent upon knowledge, skills and experience.
Principal Duties and Responsibilities
- Responds to customers’ telephone inquiries and direct calls.
- Manages day to day data entries into COINS accounting and service management system.
- Dispatches, schedules, and coordinates the work of Field Technicians in Nashville
- Prioritizes service calls for Nashville.
- Coordinates equipment start-ups with Project Manager
- Coordinates customer service requests and Sales Department requests
- Works the Nashville phones to consistently provide a customer contact for incoming calls.
- Organizes required information and responds to customers in a timely manner.
- Arranges follow-up calls to ensure complete customer satisfaction.
- Functions as a constant contact between the field and the office
- Coordinates monthly service contract scheduling and set-up.
- Keeps field technicians informed of the status for needed parts.
- Contacts and provides information to the sales department, vendors, and technicians so that all functions are aware of customer requirements and changes.
- Keeps managers and supervisors informed in a brief, organized manner.
- Provides purchase order numbers.
- Completes daily work tickets, customer requests, and inter-department requests.
- Communicates with customers in a friendly, professional, and patient manner.
- Sets up and maintains customers/sites.
- Fill out & submit forms for new customers.
- Request certificates of insurance and forward to proper contacts
- Input and submission of weekly Timecards/Payroll
- Issues purchase orders as needed.
- Enters sold repair quotes, service calls into COINS.
- Service Agreements – Keep files updated and update PM books for dispatch.
- Perform other related duties or special projects, as assigned.
Education, Training, Licenses and/or Certifications
- GED/ High School Diploma preferred.
- 6 months of experience related experience and/or training preferred.
- Prior experience working within the construction / service industry, inclusive of general contractors, specialty contractors and service providers, preferred.
- Proficiency in MS Word and Excel; knowledge of pivot tables, v-lookups, etc. preferred.
Additional Requirements
- Ability to read, write, effectively communicate, understand, and translate correspondence between customers and coworkers.
- Ability to perform basic math operations using US currency.
- Ability to use basic math operations with weight measurements, volume, and distance.
- Ability to stand, squat, bend, stoop and comfortably lift up to 25 lbs.
- Ability to perform high work volume with minimal errors and supervision.
- Must have the ability to multitask and work independently, as well as in a team environment.
- Maintain a positive, cooperative, and teachable attitude.
- Initiative; self-motivated (driven), self-starter.
- Requires basic mechanical aptitude, mathematical and English language skills.
- Complies and promotes company Safety Policy
- Regular and punctual attendance. Ability to work overtime if needed (and approved)
- Ability to pass a full background screening and drug screening.
- Must have reliable transportation.
- Ability to travel, as needed.
