What are the responsibilities and job description for the Front Office Assistant position at S2STEM?
At S2STEM, we're on the lookout for someone awesome to support our Front Office Management and daily administration.
Customer Service:
- Greeting and welcoming visitors, or customers.
- Providing information and assistance to visitors.
- Handling inquiries and directing them to the appropriate person or department.
Communication:
- Answering and managing phone calls, emails, and other forms of communication.
- Taking and relaying messages accurately.
Scheduling and Organizing:
- Scheduling appointments for center tours and maintaining calendars.
- Organizing classrooms and ensuring they are set up appropriately.
Administrative Support:
- Performing general administrative tasks such as photocopying, filing, and data entry.
- Managing office supplies and ensuring the front desk area is organized.
- Assisting the staff with preparation of materials and organizing the materials.
- General upkeep of the center - coordinating the cleaning service schedules for the center and fish tank.
- Welcoming the kids at the entrance and ushering them into the center
- Reporting child absenteeism to parent/teacher as applicable
- Reporting any disruptive or anomalous behavior to management.
Technology Proficiency:
- Using computer systems and software for tasks such as word processing, email, and data entry.
- Familiarity with office equipment such as copiers and printers.
- Willing to learn on the go
Visitor Management:
- Giving center tours to the customers
- Answering any questions from customers or directing them to the right personnel as needed
Handling Mail and Deliveries:
- Receiving and distributing mail, packages, and deliveries.
- Picking up online deliveries
Problem Resolution:
- Addressing and resolving customer or visitor concerns in a professional manner.
- Escalating issues to the appropriate heads when necessary.
Maintaining a Professional Image:
- Presenting a professional and friendly demeanor at all times.
- Dressing appropriately for the workplace.
Job Types: Full-time, Part-time
Pay: $15.00 - $20.00 per hour
Expected hours: No less than 30 per week
