Job Summary
We are seeking a highly organized and proactive Executive Administrative Assistant to provide comprehensive support to our executive team. This role requires a detail-oriented individual who can manage multiple tasks efficiently while maintaining a high level of professionalism. The ideal candidate will possess strong communication skills and be adept at using various office technologies, including Microsoft 365 and phone systems.
Essential Duties and Responsibilities
Program Support
- Assist Executive Director as needed in any/all areas of the agency
- Assist Financial Manager with purchasing and accounting functions as needed
- Provide intake session assessing individuals eligibility for services and providing information and referral relevant to each situation.
- Create and Maintain MOUs
- Maintain agency permanent records to include Board minutes, By-Laws and Handbook
- Prepare/Maintain under the Direction of the Board President in/all Board Meetings/Agendas and Reports
- Knowledgeable of Robert’s Rule of Order
- Prepare information for Board Meetings and send packets to Board Members the week before meeting
- Attend all Board Meetings and Retreats as needed
- Create and maintain a job manual specific to the functions and procedures of the Administrative Assistant
- Assist Reception with coverage of the front desk as needed
- Attend events that are held in the community and/or by businesses
- To seek out donations for the agency/shelters within all four counties
- To explore/research additional grants to secure funding
- Community Organization Luncheons to promote SAAFE House
- To provide support to others within the agency on an as-needed basis
Human Resources
- Assist in the coordination and implementation of new hire training, completion of checklist per HHSC regulations and assist Financial Director with all employee files.
Client Services
- Data Entry support for client services
- Direct Service to clients
Additional Job Duties
- All other duties as assigned

Physical and Sensory
- Ability to walk, stand, kneel, push, stoop, reach above the shoulder, bend repeatedly, grasp, pull, hear with aid, see, write, count, read, speak, analyze, alphabetize, lift and carry under 45 lbs., perceive depth, operate a motor vehicle and operate motor equipment.
- Conditions include working closely with others, working alone, working while children are playing close by, working protracted or irregular hours.
