Position Summary
Saban Capital Group is seeking a highly responsive, organized, and proactive Executive Assistant to support the President and Chief Operating Officer (COO). The ideal candidate will work alongside two other Executive Assistants, ensuring that all requests and tasks are handled with urgency and precision. This position primarily requires in-office work alongside the President & COO on-site 3 days per week as needed. When the President & COO is not in the office, you will have the flexibility to work remotely. This is a hybrid role with both remote and in-office responsibilities.

Essential Functions
- Provide fast and efficient administrative support to the President and COO, including calendar management and scheduling, ensuring all tasks are completed promptly.
- Work in close coordination with two other Executive Assistants, ensuring seamless support and rapid responses across the executive team.
- Handle confidential and sensitive information with the utmost discretion, maintaining the highest level of professionalism.
- Act as a gatekeeper, triaging incoming communications (emails, phone calls, etc.) and responding swiftly to priority requests, while ensuring the executive is informed of critical issues.
- Coordinate and facilitate executive meetings, prepare meeting materials, and make tea/coffee/other refreshments as needed during meetings.
- Greet incoming guests, occasionally acting as receptionist, and grant suite access to vendors/deliveries as needed.
- Make restaurant reservations, order lunch for the President and COO, and occasionally coordinate catering for larger in-office working lunches.
- Complete daily printing and organize binders, sort and scan physical mail, prepare packages for shipment, and drop packages at FedEx / UPS as needed.
- Assist with managing and tracking key projects, ensuring deadlines are met and all follow-up actions are completed in a timely manner.
- Liaise with internal and external stakeholders to ensure smooth communication and a quick resolution of issues or requests.
- Coordinate complex domestic and international travel arrangements.
- Manage personal tasks and special projects as needed for the President and COO, including urgent or last-minute requests.
- Bachelor's degree in business administration, communications, accounting or a related field is preferred.
- Minimum of 5 years of c-suite executive assistant experience, preferably in a family office, financial services, or a high-demand environment.
- Demonstrated ability to prioritize and handle multiple time-sensitive tasks while responding quickly to executive needs.
- Strong proficiency in Microsoft Office Suite (Teams, Word, Excel, PowerPoint, Outlook) and other relevant tools (e.g., Zoom, WhatsApp).
- Excellent verbal and written communication skills, with the ability to respond quickly and effectively in fast-paced situations.
- Outstanding organizational skills and a proactive approach to problem-solving.
- Ability to collaborate with other Executive Assistants to ensure cohesive and rapid support for the executives.
- Recognize that open and regular communication with other Executive Assistants about time allocation on tasks, project updates, and other relevant information is necessary so that the team functions as one.
- Willingness to adapt to the workflow, follow the current office procedures, and manage a shared workload.Flexibility to accommodate the varying schedules and demands of the executive, including after-hours work, and work on weekends and holidays as needed.
