Description

This position is responsible for the effective and efficient coordination and management of all facilities and maintenance operations of the bank.  Duties include running routine safety inspections, corresponding with contractors, planning maintenance work, maintaining records, and supervising facility staff.  The ideal manager is well-versed in facilities management processes and exhibits high multi-tasking and organizational abilities.  The facilities manager is required to work alongside the bank’s physical security manager to ensure a healthy, safe work environment for staff and customers at all banking locations.  


Essential Functions:

  • Provides professional, courteous, and efficient service to all internal and external customers, reflecting the Bank’s commitment to high standards of integrity and service excellence.
  • Oversees all maintenance of bank-owned premises.
  • Supervises facilities department staff including assigning duties, reviewing payroll entries, and approving PTO requests.
  • Conducts regular performance appraisals, offering feedback, recognition, and identifying opportunities for development for all facilities staff.  Ensures annual written reviews are completed.

  • Coaches and mentors facilities staff, providing development opportunities and encouraging continuous learning.
  • Serves as a backup to the Physical Security Officer.
  • Is a leader in promoting and living the bank’s culture book; “Our Values and Reason for Being,” setting an example for facilities staff to follow.  Ensure that all interactions with Customers and colleagues reflect the bank’s values of caring, compassion, trust, and Customer service excellence.  
  • Works closely with the Chief Risk Officer and other key stakeholders to develop and implement initiatives to provide the best possible facilities for all Customers and colleagues, ensuring alignment with the Bank’s strategic goals.
  • Ensures that the appearance and systems of all branches consistently demonstrate a commitment to excellence, fostering Customer and colleague loyalty and satisfaction.  
  • Works closely with all internal business units to consistently meet their needs and to provide a comfortable and safe working environment.
  • Ensures that the facilities help-desk process is maintained and that requests submitted to facilities through the help-desk system or otherwise are addressed on a timely professional basis.
  • Negotiates and manages contracts with vendors, suppliers and others for services including, but not limited to: HVAC maintenance, lighting, trash and recycling removal, cleaning services at all building locations, snow plowing and/or removal at all locations, landscaping, plumbing, painting, carpentry, and electrical repairs within the bank.
  • Assists with all real estate activities and transactions including site analyses, acquisitions, and leases.
  • Oversees / participates in the design phase and in the construction and remodeling of all facilities.
  • Maintains knowledge of applicable building regulations and codes and implements repairs and other upgrades and changes to facilities including all heating and cooling systems, as needed.
  • Ensures building maintenance supplies and equipment are in proper working order and that facilities have the proper tools to complete all tasks.
  • Ensures that all building facilities adhere to proper life safety and cleaning standards. 
  • Acts proactively to maintain the appearance of all facilities while accurately following  maintenance protocols. 
  • Oversee Facility Vendor Management.
  • Responds to facilities emergencies as they arise.
  • Manages the facilities budget.
  • Drafts Maintenance reports.
  • Assists HR with ergonomic issues.
  • Supervises and oversees all bank mail and courier operations.
  • Performs miscellaneous duties or special assignments as required, always aligning with the Bank’s values of integrity, service, and collaboration.

Other Duties and Responsibilities:

  • Attends all required meetings and training, maintaining a commitment to personal and professional growth in alignment with the Bank’s values.
  • Complies with federal and state banking regulations, as well as with all bank and department policies and procedures.
  • Interacts harmoniously, professionally, cordially and effectively with others, focusing upon the attainment of bank goals and objectives through a commitment to teamwork.
  • Serves on various committees as assigned, actively contributing to the improvement of branch operations and customer satisfaction.

Working Conditions:

  • Physical surroundings are generally pleasant and comfortable with protection from weather conditions, though temperature changes may occur.
  • Ability to sit or stand with freedom of movement, regularly alternating between both positions.
  • Ability to stand for extended periods of time when necessary, contributing to a dynamic and active work environment.
  • Extensive operation of computers and office equipment requiring dexterity, coordination, and frequent use of hands.
  • Strenuous physical activity required, including lifting, carrying, and moving boxes, cartons, packages, and/or equipment weighing as much as one hundred pounds.

Requirements

  • High School graduate or equivalent. Some technical training recommended but not required.
  • Respectful of and work effectively with others.
  • Three-to-five years’ experience in building trades or related fields including electrical, plumbing, carpentry, HVAC, fire systems, grounds maintenance and/or contracting preferred.
  • Strong leadership and coaching abilities, with proven experience in motivating teams and fostering a positive work environment.
  • Recognizes importance of being proactive.
  • Demonstrates caring, compassion, and a strong commitment to teamwork, embodying the Bank’s mission and values in all interactions.
  • Excellent organizational skills with the ability to prioritize and manage multiple tasks in a fast-paced environment.
  • Able to quickly adapt to changing priorities and Bank needs, and to recognize and focus on critical issues. Flexibility to balance and respond to competing needs within the organization.
  • Commitment to continuous learning and development, for both themselves and their team.
  • Superior knowledge of policies and procedures relating to building maintenance and infrastructure.
  • Knowledge of ADA, OSHA, DEP, and green building practices.
  • Strong written and verbal communication skills with a demonstrated ability to create processes and procedures.
  • Ability to lead a project, communicate results as well as carry out new policies and procedures.
  • Ability to work independently and as a team player, contributing to a supportive and collaborative work environment.
  • Availability to respond to security alarms and alerts, whenever necessary.
  • Ability to, with or without accommodations, read/see documents and computer screens, communicate in person via telephone or Zoom calls, and use a computer and other office equipment.
  • Dependable and punctual, adhering to attendance standards and demonstrating accountability in all actions.
  • Strong attention to detail, ensuring that all tasks are completed to the highest standards of accuracy and compliance.
  • Proven ability to deliver quality work during times of increased volume, demonstrating resilience and a strong work ethic.
  • Ability to travel to all Bank locations, ensuring a flexible and adaptable approach to meeting organizational needs.
