Overview:
Provide administrative and clerical support to accounting department performing tasks like bookkeeping, processing AP Invoices/Subcontract Invoices, balancing statements, maintaining financial records while assisting with general accounting office duties or other duties as assigned.
Key Responsibilities of an Accounting Assistant:
Bookkeeping: Maintaining accurate and up-to-date records of financial transactions.
AP Invoice Processing: Preparing and processing AP invoices, verifying various sales tax rates based on job locations, credit card receipts, balancing to statements and interfacing with vendors/subcontractors.
Accounts Receivable: Assist with processing billing documentation, waivers, as called out under contracts and Receiving Payments/Make Deposits.
Payroll Support: Assisting with New Hires, paperwork, garnishments, Union/G&A payroll processing, preparing reports, ensuring accuracy, Certified Payrolls, Monthly Union Reporting.
Data Entry: Accurately enter financial data and contracts into ERP system.
General Admin Support: Performing accounting administrative tasks opening mail, preparing & filling out forms, waivers, filing, copying, scanning, accounting documents and assist with accounting calls and customer inquiries.
Scanning, Copying and Filing: Scanning documents to electronic format, copying and filing accounting documents.
Skills and Qualifications:
Attention: Accuracy is crucial in accounting, requiring a keen eye for detail, maintain confidentiality and high attention to detail.
Organizational & Time Management Skills: Good time management is important for the role, as well as an ability to keep records and files organized.
Computer Skills: Proficiency in using accounting software and other computer applications.
Math Skills: Strong understanding of basic math principles.
Communication Skills: Ability to communicate effectively with colleagues and clients.
Familiarity with Accounting Principles: Understanding of basic accounting principles and practices.
Skills/Experience
Intermediate level Microsoft Office Software (Outlook, Teams, Excel, Word), Bluebeam experience and Computer-Ease Software experience helpful.
Construction Industry – prior accounting experience helpful, Electrical Contracting Experience preferred.
Certified Payroll & Union Payroll Experience preferred.
Associates or Bachelor Degree preferred.
