We are searching for an Administrative Assistant with exemplary office and clerical skills who can provide support to all program department leaders demonstrating high ethical decision making, confidentiality and professionalism.
Under the direction of the Director of Residential Services, the Residential Administrative Assistant is responsible for providing and maintaining a wide range of administrative, supportive and services to meeting needs the youth and all program departments.
Qualifications:
- Be at least 25 years of age
- High school diploma or GED equivalent; Associates Degree Preferred
- 1-year administration or office assistant experience
- 1-year transportation experience
- Clear understanding and adherence to confidentiality
Administrative Assistant Duties and Responsibilities:
- Answer phones, email messages, forward calls and greet all visitors
- Answer front gate via office phone (M-F 8am-5pm) and transfer access to Residential Shift Supervisor’s cellphone after 5pm
- Schedule and coordinate staffing and other meetings
- Collate and distribute staff and youth mail to department leadership
- Prepare communications, such as memos, emails, reports and other correspondence as directed by the Director of Residential Services
- Managing various projects as assigned by the Director of Residential Services
- Handling travel arrangements for youth as required
- Preparing and editing Extended Reach reports as required
- Maintaining Extended Reach databases and employee filing folders for employees
- Performing other job related duties as assigned by Director of Residential Services
Employee Related Duties and Responsibilities:
- Schedule New Employee Orientation and Pre-service Training with all staff and subcontractor facilitators
- Create new employee training attendance logs and certificates as required
- Create new employee temporary file folders and permanent paper file and electronic file
- Upload all training certificates and inspections into Extended Reach and ensure each training is tracking accordingly
- Schedule new employee’s work badge
- Provide new employees with two complimentary work shirts (additional shirts/hoodies can be purchased)
- Keep record of all new Residential Direct-Care Staff timesheet manually during orientation/pre-services training week
- Enter all new Residential Direct-Care Staff into SHYR time clock
Other Duties:
Ensure all company vehicles remains in good operating conditions and compliance with Residential Child-Care Licensing Minimum Standards and Department of Public Safety Standards at all times by conducting weekly vehicle inspections.
Schedule service/repair for facility as needed. Secure service bid and report to the Executive Director for approval.
Ensure an adequate supply of foods, personal hygiene, household and office supplies are readily available at all times
Youth Clothing Store (donations/SHYR Voucher)
Ensure every youth has access to adequate clothing available to him by maintaining the SHYR Closet to allow the youth to pick out appropriate clothing to complete his seasonal wardrobe. This process is completed upon intake (if needed) and at least quarterly each year.
Youth Cash, Gift Card and Allowance (Cash Accounts)
Ensure every youth personal money account is kept safe and remains accurately after each transaction (i.e. gift cards, credit cards, cash, DFPS vouchers, etc.)

Pay: $39,795.00 - $42,435.00 per year
