Job Description

Position Title: Accounts Payable Accountant

Department: Finance Team

Reports to: Chief Financial Officer

ABOUT THE ORGANIZATION

Safe & Sound is a children’s advocacy organization working to prevent child abuse and reduce its devastating impact on the child, their family, and our entire community. We have been a pioneer in the field of child abuse prevention, working within San Francisco for more than 50 years. Recently, the organization has begun to expand its impact working throughout the state of California.

Child maltreatment is a complex problem, but a preventable one. Our data-informed approach leverages three primary strategies: we empower children with knowledge and confidence; we support families providing resources and skills; we activate the community and the change-makers within it to create a thriving social safety net for children and their families.

The organization has an annual operating budget of approximately $15.4 million and is supported by approximately 70 staff, interns, and more than 80 volunteers. Safe & Sound headquarters is located in a historic firehouse in the Haight-Ashbury neighborhood of San Francisco, with a second office in the Bayview neighborhood.

Safe & Sound recently merged with The Center for Youth Wellness (CYW), a national leader in the effort to advance pediatric medicine, raise public awareness, and transform the way society responds to children exposed to Adverse Childhood Experiences (ACEs). Founded by California’s first Surgeon General Dr. Nadine Burke Harris, CYW has created a national call to screen, treat, and heal ACEs and toxic stress.

OVERALL SUMMARY

The Accounts Payable Accountant (APA) will be an integral part of a team that includes the Chief Financial Officer, Accounting Manager, Fiscal & Budget Analyst, and Staff Accountant II. The APA is responsible for performing detailed financial accounting and reporting activities, along with managing and processing accounts payable and cash disbursements, supporting month-end and year-end close procedures, and organizing backup documentation in the cloud.

ESSENTIAL FUNCTIONS

Accounting

● Perform detailed daily accounting tasks in compliance with internal control procedures and other appropriate US GAAP standards and regulatory requirements.

● Manage and process accounts payable and cash disbursements, including, but not limited to:

o Reviewing and processing vendor invoices and employee reimbursements.

o Reconciling credit card statements to supporting receipts/invoices.

o Setting up new vendors, maintaining W-9s and vendor contracts, and updating vendor names and information.

o Digitally filing AP documents/maintaining online AP vendor files.

● Support month-end and year-end close procedures in an accurate and timely manner, including, but not limited to:

o Performing monthly bank reconciliations.

o Preparing and maintaining prepaid expenses.

o Preparing and maintaining fixed assets.

● Provide occasional administrative support.

Compliance

● Assist with audit preparation (including the financial statement audit, CCSF audit/self-assessment, and other reviews), tax filings (including the Form 990, Form 1099s, etc.), and other compliance reporting requirements.

● Ensure that contracts are filed, recorded, and available for ongoing operational processes.

● Act as a bank liaison, resolving various issues with banking and brokerage institutions.

Undertake other duties as assigned, in both Finance & HR functions.

ESSENTIAL QUALIFICATIONS

● Minimum of one (1) year experience in nonprofit accounting.

● Meticulous attention to detail.

● Ability and desire to honor the mission and values of Safe & Sound, to interact successfully and collaboratively at all levels of the organization, and to develop positive relationships in a culturally diverse workplace.

● Strong demonstrated knowledge of and ability to research and apply US GAAP and federal, state, and city regulations and working knowledge of nonprofit accounting.

● Demonstrated proficiency with Microsoft Excel.

● Sound judgment, integrity, and ethics. Ability and desire to handle sensitive information in a confidential manner. Must be able to tailor appropriate information sharing to relevant audiences given the complexity of work with multiple stakeholders.

● Ability to learn quickly and a desire to learn new skills and software.

● Ability to work independently and on a team.

● Excellent organization skills, ability to successfully manage a large volume of work, meet multiple and often competing deadlines, and respond with flexibility to unanticipated requests.

PREFERRED QUALIFICATIONS

● Previous nonprofit accounting experience.

● Familiarity with accounting.

● Familiarity with Adobe Acrobat Pro.

● Proficiency with basic computer skills required: word processing, Google apps and internet search.

POSITION SPECIFICATIONS

● Full-time.

● Non-exempt.

● Position will be fingerprinted, E-verified and reference checked.

PHYSICAL REQUIREMENTS

● Typical Working Conditions

○ Standard office environment with occasional travel within the Bay Area.

● Equipment Used

○ Computer, phone, fax, copier.

● Essential Physical Tasks

○ Extensive keyboarding.

○ Light lifting (lift, push, and pull up to 20 pounds unassisted on a regular basis)

The base salary for this position is $30.77 per hour and is eligible for agency-sponsored benefits. (To know more about our benefits, click "Thriving at Safe & Sound).
