Job Title: Office Administrator
Job Purpose
To ensure proper flow of office procedures and management support while maintaining a positive and friendly company image.
Job Duties
· Setup and maintain record accuracy for new employees, vendors, clientele, and subcontractors.
· Meet with clientele and attend to inquiries to ensure monthly contractual obligations are satisfied.
· Create and maintain company marketing strategies which may include social media posts, monthly newsletters, updating the company website, and coordinating special events.
· Process weekly payroll and generate all required reports and records.
· Ensure company invoices and expenses are processed timely. Create collection and expense reports.
· Ensure that accounting processes are closed out accurately at the end of each month. Generate all financial reports as required.
· Ensure all safety courses are properly setup and closed out according to company procedures and in a timely manner.
· Assist with keeping safety course materials and documentation current and update as needed.
· Maintain stock lists and order office supplies as needed.
· Maintaining the office in a clean and orderly fashion.
· Perform other relevant duties as needed.
Job Expectations
· Be proficient with computers including Microsoft Office and QuickBooks applications.
· Act in a manner that is professional, polite, while being attentive, organized, and accurate.
· Respond to all clientele and company staff member inquires (email, text messages, phone calls) within a reasonable amount of time, preferably the end of the day.
· Know contractual expectations between the company and clientele.
· Know clientele contact information.
· Participate in continued education to update knowledge of required workplace skills and applicable regulations and laws.
· Be available to complete job duties as required which may include weekends and evenings.
