JOB SUMMARY

As our patients’ first point of contact, you’ll be the friendly voice of Sagawa NW Dentistry, providing exceptional customer service and patient support. DUTIES & RESPONSIBILITIES:
Patient Flow:
Greet and screen all patients and visitors entering the reception area.
Checks in and checks out patients and schedules next necessary treatment.
Monitors patient check-in times and patient flow in lobby.
Managing schedules:
Schedule patient appointments according to scheduling guidelines and protocols.
Works the recall list to ensure a full dental/hygiene schedule.
Communication:
Keeping patients and their families informed about their treatment, payments, and appointments.
Answers multi-line inbound phone calls in cheerful manner, screens incoming calls, takes appropriate messages, transfers calls when appropriate, and follows through as the call was received.
Manage communication & practice management software.
Confirm scheduled appointments 2 days prior.
Ensuring patient understanding:
Helping patients understand their treatment plans, insurance benefits, and payment options.
Managing documentation:
Ensuring correspondence from specialist’s offices and other providers is correctly recorded in the patient’s chart.
Manage patient records in accordance with HIPAA regulations, ensuring confidentiality and accuracy.
Administrative tasks including faxes, scans, etc.
Tracking appointments:
Monitoring and tracking broken appointments.
Reschedules appointments and records interaction in patients’ charts as necessary.
Insurance:
Verifying and entering dental insurance information.
Research daily and place a note for all co-pays to be collected from patients in appointment note for hygiene.
Call patients with no insurance or insurance maxed out to inform them of the co-pay.
Enter Insurance Plan notes.
Handling and processing co-payments.
Referrals:
Coordinate, as needed, with other offices who share in the care of patients, making sure referrals and correspondence are received.
Follow-up on received responses from referral sources.
Prescriptions: Send pre-medication and prescriptions when applicable electronically thru e-prescribe.
New patients experience management:
Coordinate New Patient In-take and scheduling per office protocol. Review new patient forms, and obtain any missing signatures, forms or records requested.

A minimum of 1-year dental experience and is a MUST and knowledge of Dentrix is helpful.
This is a full-time position with medical and dental benefits, including vacation and sick time. Compensation DOE. This position is available ASAP

Expected hours: 35 – 40 per week
