Executive Assistant
We are seeking a highly organised, detail-oriented, and proactive Executive Assistant to support the co-founder in both professional and personal capacities. This role involves managing schedules, coordinating meetings and travel, overseeing guest relations, and handling procurement and special projects. The ideal candidate should have excellent organisational skills, strong negotiation abilities, and the flexibility to handle a wide range of tasks, including occasional driving.
Key Responsibilities:
Administrative & Scheduling Support
- Manage the co-founder’s calendar, schedule meetings, and coordinate appointments.
- Arrange domestic and international travel, including accommodations and itineraries.
- Screen and prioritise emails, phone calls, and other communications on behalf of the co-founder.
Meeting & Event Coordination
- Organise and oversee logistics for meetings, including menu selection and ensuring seamless execution.
- Research event attendees and provide summaries with photos to help the co-founder recognise key individuals.
- Prepare guest lists for events and services, identifying high-priority connections.
- Maintain and update guest preferences to enhance relationships and experiences.
Operational & Procurement Support
- Source and purchase company materials, negotiate contracts, and ensure cost-effective procurement while maintaining quality standards. The ideal candidate should have strong negotiation skills and a keen eye and for securing the best deals.
- Conduct industry research and prepare reports as needed.
- Coordinate company car maintenance and cleaning schedules.
Business & Personal Support
- Manage relationships with local charities, businesses, and hotels, executing the co-founder’s vision for these partnerships.
- Assist with new restaurant openings, renovations, or other business expansion projects.
- Handle personal errands as required, including occasional driving.
Qualifications & Requirements:
- At least 2 years of experience as an Executive Assistant, preferably in the hospitality or restaurant industry.
- Strong organisational and multitasking skills, with the ability to prioritise effectively.
- Excellent written and verbal communication skills.
- Discretion and professionalism in handling confidential matters.
- Proficient in Microsoft Office suite
- Flexibility to work occasional evenings, weekends, and holidays as needed.
- Knowledge of fine dining operations and high-end customer service would be advantageous.
- Must be able to work on-site.
- Bachelor’s degree in business administration, hospitality, or a related field preferred.
