Key Responsibilities
- Manage the financial administration of grant-funded programs, ensuring compliance with grant agreements and funding regulations
- Prepare and review financial reports for grant funders, ensuring accuracy and timely submission.
- Track and monitor grant expenditures, ensuring alignment with approved budgets and funding requirements.
- Maintain proper documentation and records for audits, reporting, and compliance purposes.
- Assist in the preparation of grant budgets, modifications, and forecasts.
- Ensure compliance with federal (e.g., OMB Uniform Guidance), state, and private grant regulations.
- Coordinate with program managers, finance teams, and grantors to ensure proper funds utilization.
- Reconcile grant accounts and ensure proper allocation of expenses to grant projects.
- Support internal and external audits related to grant funds.
- Stay up to date with changes in grant regulations, financial policies, and reporting requirements.
- Responsible for the processing and distribution of Endowment Fund earnings
- Assist Assistant Vice President (AVP) with business office management, audits, and financial oversite.
- Provide informative reports for senior management.
- Review and authorize financial requests from the college and archabbey, including purchase requisitions, journal vouchers, payroll authorizations, expense reports, grant contracts and restricted funds in accordance with college and archabbey regulations, procedures, and policies. Process and authorize wire transfers to/from domestic and foreign entities.
- In coordination with Strategic Engagement and Mission office, develop, administer, and advise staff regarding government regulations, collective bargaining agreements and college and archabbey policies, procedures, regulations, and guidelines.
- Coordination of federal grant audit (A-133) with external auditors, prepare financial schedules and mail audit package to the Federal Clearinghouse and other granting agencies.
- Prepare and submit Federal, State, and private grant reimbursement requests, financial status reports, and Federal cash transaction reports.
- Prepare quarterly endowment income financial reports for the Vice President of Academic Affairs.
- Ensure effective financial internal controls for grant funds and continually evaluate established policies and procedures necessary to maintain compliance with evolving regulations and legal requirements.
- Other duties as assigned.
- Bachelor’s degree in accounting, Finance, or a related field.
- CPA, CGFM, or other relevant certification preferred.
- Minimum of 3-5 years of experience in grant accounting, nonprofit accounting, or financial reporting.
- Strong knowledge of federal grant regulations, including OMB Uniform Guidance (2 CFR 200).
- Experience with accounting software (e.g., QuickBooks, SAP, or grant-specific platforms).
- Excellent analytical, problem-solving, and organizational skills.
- Strong attention to detail and ability to meet strict deadlines.
- Effective communication skills for collaborating with grantors, auditors, and internal teams.
- Knowledge of general office practices and procedures.
- Ability to multi-task and handle interruptions.
- Perform occasional overtime due to deadlines.
- Proficiency with Microsoft Office, specifically Excel.
- Ability to translate and explain financial information to faculty and staff outside of the Business Office.
- Experience in nonprofit or government accounting.
- Knowledge of financial reporting for federal, state, and private grants.
- Familiarity with fund accounting principles.
