What are the responsibilities and job description for the Scheduling Facilitator position at Salem Radiology Consultants?
Job Summary:
The Scheduling Facilitator is responsible for creating and scheduling patient appointments in an efficient, timely and accurate manner. Prior to the exam, the Scheduling Facilitator is the main point of contact between SRC and the referring physician’s office and/or the patient.
Duties/Responsibilities:
- Answer all incoming calls in a professional manner.
- Greets customers in polite, prompt, helpful and professional manner. Provides any necessary instructions/directions.
- Demonstrate a calm, professional, and present demeanor when working with escalated callers.
- Perform all duties in a manner that protects the privacy of patient’s medical information.
- Refer callers to the appropriate medical offices.
- Schedule and reschedule radiology studies and procedures as outpatient appointments as requested.
- Understand the various protocols used by SRC for imaging studies (ex: assessing tests/orders from doctors and determining the proper coordination with the patient).
- Communicate with other departments to clarify patient questions and imaging orders.
- Assist staff in other departments with questions, and problem solve any issues with patient orders and/or appointments.
- Verify active insurance with patients.
- Verify insurance authorizations as required prior to scheduling exams.
- Transcribe incoming imaging orders into the EPIC system.
- Schedule imaging appointments with patients. This may include asking and documenting personal medical information and relaying test preparation information.
- Document patient symptoms, medical history and demographic information as appropriate.
- Document medical information shared by referring offices for patients. This includes taking verbal orders for imaging over the phone.
- Demonstrate proficiency within the EPIC system as it pertains to the scheduling process.
- Demonstrate proficiency within the 8x8 phone system.
- Schedule interpreting services for patient appointments.
Required Skills/Abilities:
- Knowledge of medical terminology.
- Excellent customer service.
- Proficiency in grammar, spelling, and punctuation.
- Knowledge of HIPAA.
Education and Experience:
- High school diploma or GED.
- At least two years’ experience scheduling appointments (preferred).
- Experience working in EPIC (preferred).
Physical Requirements:
- Work may require hand dexterity for telephone and office machine operation, stooping and bending to files and supplies, sitting for extended periods of time.
- Manual dexterity for using a computer keyboard.
