Orthodontic Front Desk Receptionist/Scheduler
EXPERIENCE IN THE DENTAL FIELD (1 year experience required)
Job description— We are looking for (1) enthusiastic, friendly and fun people in our busy orthodontic practice, who has the full capability to work and speaks Spanish and English fluently (preferred). Must be a people person; your duties will be in constant contact with our patients. Qualified candidates will have good interpersonal skills in order to establish a positive relationship with patients, parents, doctor, supervisors, co-workers and members of the community as well as excellent work ethic. Must be able to multi-task. Having a positive attitude and a learning mindset is a huge plus. This is a full-time position that is open immediately.
Key Tasks & Responsibilities:
Must be responsible for ensuring patients are receiving a 5-Star experience from the initial phone call to check-in and through check-out. The Front Office Admin team primarily handles all front desk duties for the practice, answer multiline phones, insurance billing, understanding medical and dental terminology. Exceptional organizational and customer service skills. Daily/Weekly/Monthly Tasks will include, but are not limited to:
- Attend and participate in all office meetings, continuing education events and daily morning huddles.
- Answer incoming calls promptly, communicate in a courteous and respectful manner, and address caller’s needs to ensure patient satisfaction.
- Managing telephone calls, controlling, and scheduling patient appointments; including gathering patient’s insurance information and updating current info.
- Check and respond to voicemails, text messages and emails left for the office through the WEAVE system. Must have good phone etiquette.
- Filing insurance claims and Medicaid claims. Make sure all information, as well as procedure codes, are accurately entered into the Dolphin Software and NC Tracks Medicaid website.
- Confirming and documenting patient appointments. Ensuring the next day’s schedule is filled for the doctor, utilizing various reports.
- Reinforces the financial policy of the office and ensures payments are current. Follow the Company policies pertaining to collections and financial protocols
- Checking in patients utilizing dental software and ensuring proper paperwork given and filled out by patients.
- Enters transactions and posts payment at time of patient check-out.
- Verifies insurance coverage and eligibility and updates info in our systems. Maintaining electronic records for patients (scanning and sorting documents)
- Shares maintenance duties and keeps workspace neat and clean. At the end of each day maintain patient waiting area as well as front desk areas.
Job Specifications
High School Diploma or GED (Required)
Dolphin software experience is a plus
Dental front desk: 2 years (Required)
Orthodontic Office: 1 year (Required)
Work Location: One location
Schedule: Monday to Thursday (7:45am-5:00pm)
Every Friday (8am-12pm)
