Responsibilities:
Front Desk & Patient Services
- Greet and check in patients with a warm, friendly attitude
- Schedule and confirm patient appointments via phone, email, and online systems
- Handle patient inquiries and direct calls to appropriate team members as needed
- Collect co-pays, deductibles and process payments
Patient Coordination & Communication
- Follow up with patients regarding upcoming appointments, test results, and treatment plans
- Assist new patients with intake paperwork and ensure all required documents are completed
- Maintain positive relationships with patients, providing a welcoming and professional experience
Billing & Insurance Support
- Verify patient insurance coverage and update records accordingly
- Explain basic billing and payment policies to patients
Administrative & Office Support
- Maintain and organize patient records in compliance with HIPAA regulations
- Prepare and update office documents, reports, and correspondence
- Order office and medical supplies as needed
- Ensure a clean and professional office environment
Office Operations & Compliance
- Ensure all patient files and medical records are accurately maintained and securely stored
- Monitor inventory levels of office and medical supplies, placing orders as needed
- Assist with compliance documentation for OSHA and HIPAA regulations
Technology & Data Entry
- Accurately enter patient demographics, insurance details, and appointment notes into the EHR system
- Maintain email correspondence and office communications with patients and vendors
- Troubleshoot basic technical issues related to office equipment and software
Team Support & Special Projects
- Assist in coordinating staff meetings, training sessions, and office events
- Support marketing efforts such as social media updates or patient outreach (if applicable)
- Help Office Manager implement efficiency improvements in office workflow
Qualifications:
✔ Prior administrative experience in a medical office
✔ Strong customer service and communication skills
✔ Proficiency with electronic health records (EHR) and Microsoft Office or Google Documents
✔ Ability to multitask and prioritize in a busy environment
✔ Attention to detail and ability to handle confidential information
Job Type: Full-time
Pay: $20.33 - $21.18 per hour
Expected hours: 40 per week
