Accounting Assistant
The Accounting Assistant plays a vital role in supporting the Director of Accounting with daily financial operations. This position involves data entry, invoicing, accounts payable and receivable reconciliation, and inventory management. The ideal candidate is a driven, detail-oriented individual with excellent communication skills and a strong ability to multitask. They should be proficient in MS Office and adaptable to changing priorities. This role requires a proactive approach, offering support in various accounting tasks to ensure smooth and efficient financial processes within the company.
Key Responsibilities:
Accounts Payable Reconciliation
- Review and reconcile accounts payable to ensure accuracy and timely payments
Accounts Receivable
- Manage and enter daily financial transactions to maintain accurate records
- Monitor incoming payments and resolve discrepancies
- Handle credit card transactions and check drafts, ensuring proper documentation
- Manage collections and assist in collection efforts to maintain a healthy cash flow
Internal Expense Auditing
- Audit and verify internal expense reports for compliance and accuracy
Inventory Management
- Enter new inventory items and kits into the system and assist with inventory reconciliation.
Additional Duties
- Perform other tasks as needed or requested.
Required Qualifications:
- Education: High school diploma or equivalent required
- Technical Skills: Proficiency in data entry and MS Office (Word, Excel, Outlook)
- Attention to Detail: Strong focus on accuracy and meticulous follow-up
- Communication Skills: Excellent written and verbal communication skills.
- Time Management: Proficient in managing time and meeting deadlines.
- Multi-tasking & Adaptability: Capable of handling multiple tasks efficiently and ability to adapt to changing priorities, delays and unexpected events.
- Driven & Self Motivated: A proactive and team driven attitude is essential.
- Flexibility: Willing to assist in various areas as needed.
Preferred Qualifications:
- Accounting/Bookkeeping Experience: 1 year of experience in accounting or bookkeeping position.
- Professional Office Experience: 3 years in a professional office setting
Working Conditions:
- Primarily office-based with occasional requirements for assisting in other areas as needed.
- Occasional lifting of 20 lbs. or less
- May involve periods of sitting, standing, and computer use for 6-8 hours per day.
- Regular business hours, with occasional overtime during peak periods or special projects.
