Job Summary

The Employment Coordinator is an integral part of the Human Resources Team and is responsible for providing exceptional talent acquisition and compensation services to the College hiring managers and department leaders. This position partners with hiring managers to hire talent, while ensuring compliance with federal and state employment laws, and the College’s policies and procedures. Serves as a resource and partner to supervisors and employees. This individual will maintain excellent relations with hiring managers, applicants, and the Salt Lake Community College (SLCC) community at-large.

The Employment Coordinator is part of the Human Resources Department located within the larger department of People and Workplace Culture (PWC). PWC is responsible for ensuring that a great environment exists where employees want to come and stay. Essential Responsibilities and Duties Position Management & Applicant Tracking System (ATS) :

  • Be an expert user regarding the position management and ATS.
  • Recommend improvement to current processes in regard to the College ATS.
  • Assist hiring managers in writing part time position descriptions.
  • Collaborate with hiring managers, review, post, and close out full and part time positions in a timely manner.
  • Coordinate advertising for position postings between department and posting agencies.
  • Analyze information in position management / applicant tracking database and HRIS for accuracy, correct any discrepancies.
  • Maintain full time and part time position posting files.
  • Review and provide recommendations for full time position descriptions to Compensation Manager as needed.
  • Assist Compensation Team with special projects and daily duties.

Hiring Process :

  • Be a subject matter expert on College hiring policies and procedures.
  • Provide recommendations to improve current processes.
  • Follow HR best practices for all hiring searches. Communicate policy, procedures and practices with departments.
  • Serve as an internal consultant to management and employees regarding work related situations as they relate to employment processes.
  • Assist applicants in utilizing College systems and answer questions in regard to the hiring process.
  • Analyze salary recommendations for potential hires, ensuring equity, and generate offer letters for full time employees.
  • Enter and retrieve data on finalist for criminal background check and ensure E-verify entries are completed in a timely manner.
  • Assist departments with background check information and act as a main point of contact regarding final results.
  • Update internal resources associated with hiring (PARS) in timely manner to ensure streamlined hiring processes and accuracy.
  • Work with Onboarding to get new hires processed.
  • Ensure necessary hire paperwork (e.g., transcripts, PAFs) is received and processed in a timely fashion.
  • Forms & Reports :

  • Verify and process Personnel Action Forms (PAFs), volunteer forms, degree advancement forms and other employment related forms, checking personnel data, and entering data into the College HR system.
  • Coordinate with hiring managers, budget and payroll office to ensure accurate information so employees are paid on-time.
  • Process updates / changes to employment forms ensuring accuracy.
  • Take initiative on cabinet report creation, checking for accuracy and details for cabinet, Board of Trustees along with other ad hoc reports as requested.
  • Provide verification of employment correspondences by phone, fax or written.
  • Contribute to the Affirmative Action plan each year, as needed.
  • Create and maintain guides and manuals for department processes and for end users.
  • Recommend process improvements and share with HR staff.
  • Training :

  • Train hiring managers and hiring committees on college employment processes.
  • Train and provide troubleshooting for users with HR / ATS systems.
  • Act as mentor and trainer for lower-level Employment Coordinators.
  • Create and provide training on other HR related topics as assigned.
  • Other duties as assigned. Essential Responsibilities and Duties Continued Minimum Qualifications

  • Bachelor’s degree in human resources or related field.
  • Two (2) to five (5) years of direct, full-time paid experience
  • Trade off of education for work experience on a 1 to 1 basis.

    Part time direct work experience may be considered on a pro-rated basis. Preferred Qualifications Higher Education / Non-profit experience preferred.

    PHR preferred. Knowledge, Skills & Abilities

  • Knowledge of spreadsheets, word processing, presentations, reporting, human resources information systems (HRIS) and applicant tracking software (ATS).
  • Knowledge of federal and state HR statues, laws, and regulations.
  • Knowledge of college policies and procedures.
  • Knowledge of college administrative software including, business English, writing and vocabulary, business math and statistical analysis.
  • Knowledge of the job evaluation process.
  • Knowledge of best practices and formatting on desk manuals and training guides.
  • Knowledge of budgetary processes that impact human resources and hiring department.
  • Knowledge of the Form I-9, Employment Eligibility Verification and e-verify.
  • Ability to train, guide and advise lower-level Employment Coordinators.
  • Ability to collect and analyze data and information.
  • Ability to facilitate work groups with subject matter experts to gather information.
  • Ability to write and communicate effectively and concisely.
  • Ability to troubleshoot problems and respond to inquiries in a timely manner.
  • Ability to perform complex research, prepare reports and make presentations.
  • Ability to work with sensitive and highly confidential information and keep data secure.
  • Ability to communicate effectively with a broad range of people with a variety of abilities and backgrounds, to maintain good working relationships across the College.
  • Ability to work with all groups from a variety of academic, socioeconomic, cultural, and ethnic backgrounds, and with community college students, faculty, and staff, including those with disabilities.
  • Non-Essential Responsibilities and Duties Provide front office coverage when needed.
