What are the responsibilities and job description for the Membership Technician position at Salt River Pima-Maricopa Indian Community?
Under general supervision of the Community Development Department’s (CDD) Membership and Real Property Management (MRPM) Manager, this position serves as a front-line support for membership functions to include providing membership documentation, updating Membership records and maintaining current contact information for Enrolled Members. Assists with all membership and enrollment functions including applicant and Community Member customer service along with membership related communication and record-keeping. Maintains all membership and enrollment information in database form for confidential safekeeping. Ensures work is accomplished in accordance with the SRPMIC Constitution and other applicable laws, policies and regulations. This job class is treated as FLSA Non-Exempt.
Essential Functions: Essential functions may vary among positions and may include the following tasks, knowledge, skills, abilities and other characteristics. 1. Accepts responsibility for sufficiency and accuracy in the preparation of membership documentation.
2. Acts in a customer service representative capacity for membership and enrollment related services provided by the Tribal Government and the CDD MRPM Division.
3. Conducts pre-application reviews with applicants to explain the requirements and guides applicants thru the review and determination process, ensures all applicants understand the application process thoroughly and have an opportunity to ask all membership related questions.
4. Assists with the acceptance of completed membership applications and ensures all applicable support source documents are received.
5. Forwards all membership applications and supporting source documents to the Membership Specialist, Membership & Real Property Management Manager, or designee, for review and approval before finalizing the enrollment process for applicants.
6. Assists with the processing of membership applications and other membership documents as per all policies, procedures, ordinances, resolutions and Constitutional requirements.
7. Assists with Community outreach and mailing notifications to applicants in the membership process.
8. Produces required documents including, but not limited to, the following:
- Identification Cards
- Verification of Enrollment
- Certification of Enrollment
- Certification of Non-Enrollment.
9. Ensures all membership and enrollment information is scanned, catalogued and tracked in an orderly, accurate and confidential manner. Follows safe internal document storage practices and procedures at all times.
10. Maintains confidentiality at all times regarding membership and enrollment information, documents, applications, disposition, etc.
11. Performs other job related duties as assigned by the Membership and Real Property Management Manager or Community Development Director.
Knowledge, Skills, Abilities and Other Characteristics:
- Knowledge of history, culture, laws, rules, customs and traditions of the Salt River Pima-Maricopa Indian Community.
- Knowledge of the current membership and enrollment issues, projects, organization and employee responsibilities.
- Knowledge of records management procedures.
- Knowledge of the SRPMIC Constitution, laws, ordinances, rules, regulations and practices relating to Community membership and enrollment.
- Skill establishing and maintaining effective working relationships at all levels of the organization.
- Skill with verbal and written communication.
- Skill compiling, organizing and presenting detailed membership related reports.
- Skill organizing and prioritizing workflow.
- Skill using a personal computer including MS Office software.
- Ability to explain complicated membership matters in a non-technical manner to those for whom the subject matter is unfamiliar or difficult to understand.
- Ability to collect data, define problems, resolve issues, establish facts & draw valid conclusions.
- Ability to maintain confidentiality regarding all membership and enrollment matters.
- Ability to lift and carry 25 lbs.
Education: Graduation from High School or a GED equivalent is required.
- For enrolled Community members without a GED, must obtain a GED. Requires participation in the HR GED Program and successful completion of the Arizona state certified exam in order to continue employment with SRPMIC.
Experience: One (1) year professional level work with records, archiving, identity verification, familial relationships or similar processes required.
- Related experience with a Native American Tribal membership and enrollment entity is highly preferred.
Equivalency: Any equivalent combination of education and experience that will allow the applicant to satisfactorily perform the duties of the job may be considered.
Underfill Eligibility: An enrolled Community Member whom closely qualifies for the minimum qualifications for a position may be considered for employment under SRPMIC Policy 2-19, Underfill.
May be required to work outside normal work hours including nights, weekends and holidays.
May be required to travel.
