Executive Assistant to the Chief Talent Officer

Summary

The Executive Assistant serves the members of Samaritan Ministries International by providing administrative support as directed by management. This includes coordinating meetings, preparing reports, project management as assigned, coordinating travel as required, and assisting in the management and execution of daily tasks related to the Ministry Cabinet, Board of Directors, (if applicable), and the ministry overall.

Key Responsibilities

  • Provide administrative support to senior management and to the team as requested
  • Coordinate travel arrangements
  • Participate in team and strategy meetings as required
  • Provide support to the team and directors
  • Coordinate team meetings and company events
  • Prepare presentations, documents, and reports
  • Provide occasional administrative support to other departments as required
  • Provide support to Board Meetings as needed
  • Schedule meetings, create agendas, attend meetings and take minutes when required
  • Act as a proxy to senior management as needed
  • Provide support to Executive's email as directed
  • Coordinate and provide support to special projects as required
  • Administer and coordinate the Executive's calendar


Qualifications and Experience

  • Four-year college degree from an accredited college or equivalent of education and experience
  • Certified Administrative Professional (CAP)
  • Professional Administrative Certification of Excellence (PACE)
  • Administrative Assistant Certification (CAA)
  • Staff are required to possess applicable knowledge to bring value to SMI in this role, know and utilize resources well, ask questions to ensure full understanding. gain and retain knowledge to keep up with changes, and accept and engage with training to grow knowledge for current and future responsibilities
  • Knowledge of Ministry Cabinet (MC) roles and responsibilities
  • Knowledge of Operating Council (OC) roles and responsibilities
  • Ability to Maintain confidentiality (Advanced)
  • Knowledge of all department and applicable processes, procedures, and policies, SMI Bylaws, SMI facilities, organizational structure, department, and job functions, Legal documentation and Contract review process, Ministry Strategy and initiatives, Department goals, Board and Ministry Cabinet relations and Meeting Procedures
  • Adobe Products (Intermediate)
  • Microsoft Office Suite (Intermediate)
  • Microsoft SharePoint (Intermediate)


Additional Information

  • Tasks are normally conducted in a regular office environment, requiring use of computer and mouse and other standard office equipment. Staff usually remain in a stationary position, often standing or sitting for prolonged periods.
  • Staff will observe safety principles while performing the duties of the position.
  • Staff will be required to travel and have a valid driver’s license.
  • May need to lift and move items up to 35 lbs on occasion.

Pay Range: $21.70-30.40. Starting pay usually falls within the lower half of the pay range and is determined by experience, skills, and education. Benefits Include:​
