Position Summary:
The Survey Coordinator will work closely with the SIT (Surveyor-In-Training)/Survey Manager, Public Relations Manager, and Staff Accountant to coordinate the daily tasks required to process a surveying service from point of request to delivery. A Survey Coordinator will manage the administrative duties required of approved work orders to ensure the quick and efficient completion of each project. The Survey Coordinator will track, gather and dispense the needed information and updates; as well as coordinate the work throughout the project life cycle to management, cad technicians and field crews. All information must be maintained within organized company files as per standard operating procedures.
Essential Duties and Responsibilities:
- Receive and respond to phone calls and emails requesting surveying services.
- Prepare survey quote based on client requirements, property information, company established rate sheets and coordination with SIT. Know scope of work.
- Professionally correspond with clients via all forms of communications and utilized standardize responses.
- Maintain proactive communication with clients and or potential clients throughout project.
- Submit quote to client and promptly address comments or concerns within same day.
- Follow up with client on quotes that have not been responded to. Ensure the quote has been received by the client.
- Follow company set procedures with established software (smartsheets) for the tracking of new contracts, invoicing, folder request and survey request submission.
- Coordinate project status with RPLS, SIT and CAD technicians responsible for said project.
- Maintain department focus on project deadlines.
- Review survey plats for quality control of grammar, spelling, address, FEMA zone, borrower information, subdivision name, city, etc.
- Maintain and submit weekly reports: 20x40 report, weekly quote report, monthly request log.
- Ensure electronic folders contain up to date field information through set rod staking.
- Conduct, track and report weekly follow up calls to clients to promote business development.
- Maintain accurate and detailed information within project folder on projects that are “on hold” or “cancelled”. Ensure this information is also presented at weekly meeting and updated with the accounting department on a weekly basis.
- Maintain monthly listing of all client and associate emails for monthly marketing raffle.
- Ensure that clients receive excellent service experience.
- Responsible for ordering surveying material and supplies and updating operations management with inventory levels.
- Responsible to assist Department Director with maintaining current account receivable records, communication with clients, and follow-up for payment status.
- Responsible for employee time off forms, completion of purchase requests, and truck logs.
- Ensure that all company policies and procedures are adhered to by you.
- All other duties assigned by management.

General Mathematics Knowledge, Active Listening, Reading Comprehension, Active Learning, Critical Thinking, Multi-dimension Coordination, Able to speak and understand Spanish, Be able to Multi-Task between projects, Quickly Learn Strategies, Judgment and Decision Making, Problem Solving, Detailed oriented, Organization skills, Communicating Effectively, and Preferably have more than two (2) years of experience in the industry.
