SALARY: $4,849.00 to $5,907.00 Monthly (Range 74)
LENGTH OF SERVICE: 12 Months/260 Days
(This position is grant-funded. Continuation of the
position is contingent upon continuation of the grant.)

POSITION DESCRIPTION
The Office Specialist II performs intermediate-level clerical functions in support of an SBCSS department, administrative program, or itinerant school principal. The Office Specialist II performs various assignments including handling the day-to-day operation of an office, coordinating various projects, events, and workshops, and monitoring budgets.
ESSENTIAL JOB FUNCTIONS
· Receives mail, equipment deliveries, and telephone calls and takes appropriate action;
· Schedules meetings;
· Establishes and maintains records, filing systems, spreadsheets, calendars, and supplies;
· Prepares and processes various documents and forms (e.g. transportation requests, time sheets, purchase orders, personnel action forms, other budgetary transactions);
· Assists in the development and maintenance of the budget and financial records;
· Develops and prepares correspondences, bulletins, forms, reports, minutes, handbooks, manuals, presentation and other written materials;
· Researches information for reports and presentations;
· Coordinates office workflow, meetings, and events;
· Supervises students/substitute workers in the office, including sick and injured classroom students (non-deliverables);
· Provides information and assistance to SBCSS and district personnel, members of the public and employees of other agencies;
· Performs related duties as assigned.
JOB REQUIREMENTS
Experience planning and organizing office support functions; performing complex clerical work including arithmetic calculations; using standard office equipment (telephone, computer, typewriter, fax, printer, calculator, etc.);
Skill in the useof standard office equipment (telephone, computer, typewriter, fax, printer, calculator, etc.); general office procedures; English usage and punctuation;
Knowledge of office management procedures; English punctuation and grammar usage;
Ability to type at a net corrected speed of 40 words per minute; operate an IBM and/or Macintosh computer, communicate effectively with a variety of individuals in written and verbal form, establish and meet deadlines, maintain accurate records, exercise sound judgment, interpret and communicate policies and procedures;
Physical Abilities include sitting for extended periods, reaching, fine manual dexterity, pulling, talking/hearing, and near and far visual acuity/depth perception/color vision/field of vision.
MINIMUM QUALIFICATIONS
· Ability to type at a net corrected speed of 40 words per minute;
· Two (2) years of clerical experience performing complex and diverse duties;
· Completion of 6 semester units in Business Administration or a closely related field (one (1) year of additional clerical experience may be substituted for 6 semester units of college coursework);
· Ability to receive a passing score on the San Bernardino County Superintendent of Schools (SBCSS) Office Specialist II written test. *If test was previously taken and passed, proof of a passing score is required in lieu of taking the test;
· Possession of a high school diploma (or its equivalency) or higher, or possession of a GED.
DESIRED QUALIFICATIONS
· Experience maintaining web site information;
· Experience with design and/or relational database software programs, i.e. Canva; Adobe InDesign; Microsoft Access; Oracle;
· Experience managing schedules, timelines, and resources;
· Experience in case and/or records management;
· Experience drafting and proofreading business correspondence, reports, and presentations;
· Experience coordinating training sessions, workshops, and presentations, including booking venues, arranging equipment, preparing materials, and managing event timelines;
· Experience coordinating travel arrangements, including booking transportation, accommodations, and processing expense reports;
· One (1) year experience in a California school district or County Schools Office.
