*Job Overview*
We are seeking a Mac-using, dedicated Personal Assistant to provide administrative support and assistance to our law firm's CEO. The ideal candidate should be highly organized, detail-oriented, and capable of managing multiple tasks efficiently. The position requires someone with a happy outlook and a good sense of humor (no exceptions).
*Responsibilities*
- Provide executive administrative support to the CEO
- Manage calendars and schedule appointments,
- Manage incoming work from various persons and then send it out forward after the CEO's review.
-Manage all of the incoming emails (over 100 a day in 3 mailboxes) and respond via dictation and yourself in the future when you have a handle on them.
- Handle duties such as answering calls and making calls to clients.
-Call or email vendors and other companies in order to ascertain information and resolve various issues (ie sent wrong toner); order supplies and equipment, book flights, hotels, cars, and make various arrangements for his travel.
- Perform clerical tasks including filing and organizing documents electronically.
- Utilize the Microsoft Suite for various office functions
- Back up computers, move around electronic files, and complete other computer-oriented tasks.
*Experience*
- Proven experience in providing executive administrative support (2 years' min. is ideal)
- Familiarity with Microsoft Suite (Word/Excel/Outlook) for office functions
- Strong organizational skills with attention to detail. This position requires someone with a good memory or note-taking ability, and the capability to multitask. (If you can't, it will show in 2 days).

The position may sound boring, but it is far from. The time flies by daily; our law firm is easygoing (but we take our work seriously) The team is intelligent but have great personalities. The CEO is involved in a couple of companies to raise funds for abused and abandoned dogs; you will be working with those as well, to keep it interesting.
The position may require travel as well as running errands and basically anything that can liberate the CEO's time. As mentioned above, we are seeking someone easygoing, who has a sense of humor. We are not seeking someone we have to walk on eggshells with; someone who is reality-based and down to earth; fun to work with. Honesty, integrity and loyalty are important.
Our law firm prides itself on outstanding customer service; if it is not for our clients, we have no reason to come to work. You should have a great phone manner, and be diplomatic. spelling and grammar are important, as is typing speed.
This position is from 8:00 or 8:30 AM Monday through Friday; you may choose 30 or 60 mins for lunch and can change that as required. Weekend work is rare but occasionally happens, especially where travel is involved. We honor a work-life balance and will work with you when you have appointments during the daytime.
