What are the responsibilities and job description for the Director of External Events position at San Diego Symphony Orchestra?
The Director of External Events serves as the primary booking agent for external rentals of The Rady Shell at Jacobs Park and the Jacobs Music Center and manages interactions with outside promoters from inquiry through event conclusion to ensure all events are produced at a high level of excellence, while simultaneously ensuring budgetary compliance.
Essential Responsibilities:
- Serves as booking agent working closely with the VP of Artistic Administration and Audience Development to manage the institutional calendar of spaces
- Oversees budget projections and attainment while maximizing revenue of both Jacobs Music Center and The Rady Shell at Jacobs Park
- Prepares estimates, contracts, and pre and post settlements for each venue rental in a timely fashion and ensures compliance with rental contracts and Venue policies
- For all outside promoter concerts, coordinates with the various departments including Box Office, Marketing, Production, Facilities/Operations and Artistic as needed
- Proactively builds and maintains a network of outside renters by pursuing relationships with promoters
- Determines appropriate costs associated with rentals, and analyze industry standards to assure competitiveness for rate cards each season
- With the VP of Marketing and Communications, develops comprehensive marketing campaign to increase rentals at both sites
- Attends weekly production meetings and facilitates communication between departments
- Attends Directors Team meetings and works together towards successful initiatives
- Performs other related duties as assigned or as the situation dictates
Required Qualifications:
- Minimum 7 years’ management experience in venue rentals and/or in artistic operations role
- Knowledge of working in a performing arts center or outdoor summer festival
- Proven knowledge of the music and entertainment industry
- Must have strong organizational, planning and time management skills and be able to take initiative and handle multiple ongoing activities
- Ability to exercise judgement and discretion
- Ability to establish and maintain effective working relationships with a wide variety of personalities
- Ability to communicate verbally and in written communication effectively and quickly
- Strong customer service and quick problem solving skills are necessary
- Ability to assess emergency situations and calmly lead others in response
- Must demonstrate attention to detail and accuracy
- Strong financial skills are a must
- Ability to hire, manage and mentor supporting staff positions as needed
- Knowledge of MS Office programs, esp. Word, Excel, Power Point and Outlook. Knowledge of ArtsVision
- Experience working with concert promoters like Live Nation and AEG
- Knowledge of Ticketmaster and/or AXS, a plus
General Requirements:
- Able to work regular business hours and maintain a presence at performances, including nights and weekends
- Able to sit or stand for long periods of time
- Mobility both on and off the stage and in crowded spaces in both indoor and outdoor venues
Working Conditions:
Normal office working conditions: sitting at a desk and computer terminal for long periods of time, typing and computer work
Normal backstage working conditions: standing for long periods of time, noisy atmosphere
This is a full-time, exempt position with benefits, based at the San Diego Symphony.
Competitive salary $90,000 - $110,000 commensurate with experience and benefits which include medical, dental, vision, life and disability insurance, paid time off and a 401(k) plan.
