What are the responsibilities and job description for the Administrative Assistant position at San Ignacio University?
The Administrative Assistant provide administrative support to the administrative team . This position attend to visitors and deal with inquiries on the phone and face to face, undertaking clerical tasks as typing, filling, and basic bookkeeping.
Essential Functions:
1. Performs clerical tasks of a confidential nature including but not limited to producing letters, reports, and memorandums.
2. Answers telephone calls, takes messages and answers inquiries within assigned scope of responsibility.
3. Provide security to the reception area and report any incident or issue related to safety issues or any kind of concerns.
4. Schedules appointment and meetings as requested by the administrative team.
5. Distributes mail.
6. Orders, distributes, and keeps inventory of office supplies.
7. Compiles data, computes fees and charges and prepares invoices for billing purposes.
8. Communicates in a professional and effective manner with staff, students, and co-workers.
9. Follow other duties as assigned.
Knowledge, Skills, and Abilities
1. Experience with Enterprise QuickBooks (2100)
2. Proficiency in Microsoft Office: Advance Level
3. Excellent written and verbal communication skills.
4. Customer service skills necessary to work with external and internal customers.
5. Bilingual: English and Spanish required
Position Requirements:
- Minimum of a Associate/Bachelor Degree with a concentration in Business
- 2 years of experience as a bookkeeper.
- Driver license
