Location: Courthouse (Telluride, CO)

POSITION SUMMARY

The Full-time Deputy Treasurer and Public Trustee will perform various complex bookkeeping, clerical, and administrative duties per statutory guidelines supporting the San Miguel County Treasurer and Public Trustee's Office to efficiently and effectively serve the citizens of San Miguel County.

The position will report directly to the Treasurer and Public Trustee and the Chief Deputy and be compensated at a Grade 22, Step 3, $24.97 per hour.As a full-time employee, the Deputy Treasurer and Public Trustee is eligible for all County-sponsored insurance and benefit plans as summarized in SMC 2024 Summary of Benefits, subject to applicable waiting periods.

The position is based in the County's Courthouse in Telluride, Colorado.

Supervision Received: Reports directly to and will receive daily direction and supervision from the Treasurer and Public Trustee or the Chief Deputy.

Supervision Exercised: This position possesses no supervisory responsibilities.

JOB DESCRIPTION

The following statements illustrate the job's essential functions and do not include other nonessential or peripheral duties that may be required. San Miguel County retains the right to modify or change the duties or essential functions of the job at any time.

Tasks, Duties, and Responsibilities include, but are not limited to, the following

● Process tax payments and miscellaneous payments, ensuring accurate allocation to accounts.

● Prepare deposits, balance cash drawers, and maintain daily cash books.

● Organize and maintain filing systems in compliance with statutory retention schedules.

● Manage office support functions, including supply ordering, mail sorting, email responses, and record maintenance.

● Research tax history, Treasurer Deeds, Release of Deeds of Trust, and Foreclosures.

● Prepare and proofread correspondence, reports, letters, memos, and charts.

● Maintain office calendar to ensure deadlines are met.

● Provide exceptional customer service, assisting visitors and callers with inquiries and complaints.

● Manage all returned items (check, credit/debit card, ACH).

● Execute Release of Deeds of Trust.

● Post journal entries and reconcile bank, receivable, and general ledger accounts.

● Monitor all bank accounts for incoming wires, e-checks, credit/debit cards, and ACH transactions and ensure accurate receipting.

● Assist in maintaining the Chart of Accounts, balance reports, cash books, and fund ledgers.

● Proficient in operating standard office equipment, including remittance machine and ten-key by touch.

● Clear and concise communication skills, both verbal and written formats.

● Demonstrate independent judgment, initiative, and self-motivation.

● Capable of delivering accurate results in a fast-paced environment while meeting various deadlines.

● Maintain strict confidentiality.

● Proficiency in one or more foreign languages, Spanish, is preferred.

● Highly organized and able to effectively manage and prioritize workflow, duties, and responsibilities amidst changing priorities.

● Possess honesty, accuracy, and attention to detail.

● Strong reasoning, analytical, and problem-solving skills.

● Excellent interpersonal skills with the ability to collaborate effectively across departments, taxing authorities, and the public.

● Adhere to accounting best practices.

● Experienced with Microsoft Office Suite, Google Suite, QuickBooks, and similar software.

● Knowledgeable in interpreting and applying office policies, procedures, regulations, statutes, and organizational rules.

DESIRED EDUCATION & EXPERIENCE

● A high school diploma or equivalent.

● Two years of experience in an administrative or accounting office environment, preferably in the public sector.

SPECIAL REQUIREMENTS

● As part of your duties as a County employee, you may be called upon to perform duties outside your day-to-day activities to support County emergency operations. All County employees must complete National Incident Management System (NIMS) training within the first six months of employment.

● Must pass a comprehensive criminal and financial background check upon hire and every two years after that.

● This is a safety-sensitive position and is subject to random drug and alcohol testing.

● Must be able to obtain a bond.

While performing the duties of this job, the employee is regularly required to talk and hear. The employee is frequently required to sit at a desk workstation for long periods while

viewing multiple computer monitors, using hands and fingers to handle or feel, and reaching with hands or arms. The employee must stand, walk, climb, balance, twist, stoop, kneel, and crouch. Must be able to respond to the customers' needs and perform tasks requiring extensive hand and eye coordination. Dexterity of hands and fingers to operate a computer keyboard, mouse, and other devices and objects. Specific vision abilities required by this position include close vision, distance vision, color vision, peripheral vision, depth perception, and the ability to adjust focus. It requires being sensitive to change and responsive to the office's evolving goals, priorities, and needs.
