The Administrative Assistant for the Maintenance Department will provide essential support to ensure smooth and efficient department operations. This role involves managing administrative tasks, assisting with scheduling, coordinating maintenance activities, handling communications, and maintaining department operations records.
Responsibilities:
- Answer phone calls and emails, respond to inquiries, and direct requests to the appropriate personnel.
- Maintain and organize filing systems, both electronic and physical, for maintenance records, service logs, and equipment manuals.
- Prepare, proofread, and distribute internal memos, reports, and documentation.
- Track expenses and maintaining records
- Order office supplies and maintenance materials, ensuring adequate inventory levels
- Schedule and coordinate maintenance work orders, ensuring tasks are prioritized and completed in a timely manner
- Organize maintenance staff schedules, ensuring appropriate coverage for daily operations and emergency repairs
- Coordinate with outside vendors and contractors for scheduled maintenance, repairs, and inspections
- Maintain accurate records of maintenance tasks, including completion status, materials used, and service provider details
- Compile and generate regular maintenance reports, including tracking ongoing projects, work orders, and budget updates
- Assist in preparing compliance documents and reports for a variety of inspections
- Act as a liaison between the maintenance team, other resort departments, and guests, ensuring clear communication and resolution of maintenance-related issues
Qualifications:
- High school diploma or equivalent; additional administrative or office management certifications preferred
- Previous experience in administrative support, preferably in a hospitality or resort setting
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook)
- Strong organizational skills and attention to detail
- Excellent verbal and written communication skills
- Ability to manage multiple tasks simultaneously and work under pressure
- Knowledge of maintenance procedures or familiarity with maintenance terminology is a plus
- Strong interpersonal skills with the ability to work effectively with resort staff and guests
