Position Summary:
The Housekeeping Dispatch Agent is responsible for coordinating and streamlining communication between the housekeeping team, front desk, and other departments. This individual ensures that room statuses are updated in a timely manner, guest requests are fulfilled promptly, and any operational issues are addressed efficiently. The role requires excellent communication, organizational skills, and the ability to multitask in a fast-paced environment.
Essential Duties and Responsibilities:
- Manage and monitor the housekeeping dispatch system to assign and track daily room cleaning tasks for room attendants and housepersons.
- Communicate room status updates promptly to the front desk to ensure efficient check-in and check-out processes.
- Respond to guest requests related to housekeeping (e.g., additional amenities, extra towels, etc.) and ensure timely delivery by coordinating with the appropriate team member.
- Track and update real-time room status changes in the property management system (PMS).
- Serve as the central communication point for the housekeeping department, ensuring efficient relay of information between housekeeping, maintenance, and other departments.
- Handle incoming calls, emails, and messages from team members or guests professionally and efficiently.
- Monitor inventory levels of housekeeping supplies and notify the appropriate manager of replenishment needs.
- Assist in preparing daily housekeeping reports and shift handovers for smooth operations.
- Address and escalate any operational issues or guest concerns to the Housekeeping Manager.
Qualifications:
- Previous experience in a hospitality or dispatch role preferred.
- Strong communication skills and ability to multitask effectively.
- Familiarity with property management systems (PMS) such as Opera or similar platforms is a plus.
- Detail-oriented and highly organized with the ability to prioritize tasks.
- Ability to work in a fast-paced environment while maintaining professionalism and composure.
- Team player with a positive attitude and a commitment to exceptional guest service.
Physical Requirements:
- Ability to sit at a desk and use a computer or phone for extended periods.
- Frequent standing and walking to coordinate with team members in different areas of the property.
- Ability to lift and carry up to 20 pounds occasionally to assist with delivering guest requests.
- Comfortable working in various environments, including guest rooms, laundry areas, and housekeeping offices.
- Ability to bend, stoop, and reach occasionally as needed.
Work Schedule:
- Must be available to work flexible shifts, including weekends and holidays, based on operational needs.
