Real Estate Assistant Overview
A Real Estate Assistant plays a vital role in supporting real estate agents and brokers by managing administrative tasks, ensuring seamless communication with clients, and coordinating marketing efforts. They handle a variety of responsibilities, including organizing schedules, maintaining client databases, creating promotional materials, and managing listing updates.

Key Responsibilities
Marketing Support
- Schedule and organize print and online marketing/advertising campaigns as directed by the agent.
- Maintain and update the database with new contacts, ensuring detailed notes on activities.
- Send e-blasts to the database and track results.
- Assist with creating marketing materials, such as newsletters and sponsorship materials, in collaboration with the marketing department.
- Support sponsorships, open houses, and homeowner events (HOE).
Administrative & Office Support
- Prioritize income-generating tasks to support the agent’s business goals.
- Maintain seamless communication with clients on behalf of the agent.
- Plan and present daily task lists to align priorities with the agent.
- Manage incoming calls and assist with prospecting efforts.
Listing Support
- Enter and update all property listings in the MLS within 24 hours of signed agreements.
- Proofread and ensure accuracy of listings, price changes, and media across all platforms.
- Design marketing materials, including Just Listed and Just Sold cards, to enhance property and agent exposure.
- Manage listing photos to ensure they represent properties accurately; notify the agent of any concerns.
- Obtain feedback from showings and communicate updates to clients.
- Prepare listing packets, maintain signs and lockboxes, and manage all listing checklist items.
Closing Coordination
- Track contract deadlines, including appraisals, inspections, and closing dates, to ensure a smooth transaction.
- Facilitate document execution through platforms such as Forms Simplicity or DocuSign.
- Assist with finalizing records and paperwork for buyers and sellers.
Web & Social Media Management
- Maintain the agent’s website, social media platforms, and syndicated real estate sites.
- Monitor and update content to keep the agent’s online presence fresh, relevant, and engaging.
General Administrative Duties
- Coordinate mail flow, manage mailing lists, and proofread promotional materials.
- Schedule and remind clients of appointments for open houses, showings, and closings.
- Run errands such as installing/removing signs, dropping off contracts, and placing lockboxes.
- Follow up with buyers and sellers post-transaction to gather feedback and maintain relationships.
Physical Requirements
- Ability to sit, stand, or walk for extended periods.
- Comfortable lifting up to 20 pounds, including signs, lockboxes, and marketing materials.
- Willingness to work indoors and outdoors in varying weather conditions while running errands or setting up property displays.
- Adept at climbing stairs or walking on uneven surfaces when visiting properties.
Qualifications
- High school diploma required; college degree preferred.
- Six months to one year of related experience in real estate, marketing, or administrative roles.
- Familiarity with client management software (e.g., Top Producer, Salesforce).
- Florida real estate license or willingness to obtain one is preferred.
