What are the responsibilities and job description for the Volunteer Services Coordinator position at Sandoval County?
Under general direction, plans, organizes, and coordinates a comprehensive volunteer service program for senior citizen volunteers, particularly those with limited income, to meet critical community needs; develops and coordinates a broad variety of volunteer services; coordinates recruitment and training of volunteers to accept responsible assignments; responsible for oversight of program budget; develops, updates and recommends changes to program policies and procedures; provides overall administrative support for the Volunteer Services Program including creating and preparing correspondence, arranging appointments, and preparing stipend timesheets; ensures that individual needs are assessed in accordance with program guidelines; and performs other duties as assigned.
Education and Experience:- High School Diploma/GED Certificate from an accredited institution; Associates Degree in Gerontology, Social Services, or related field is preferred; and three years of experience performing program activity work or coordinating volunteerism work that includes some training or experience with promoting and recruiting staff or volunteers and coordinating program services and functions; preferably with the senior population.
Required Licenses or Certifications:
- Valid New Mexico driver’s license or ability to obtain a valid New Mexico driver’s license within 30 days of hire.

This is a safety- sensitive position subject to random drug testing in accordance with County policy Article XIII Drug and Alcohol Policy and Testing-Drug Free Workplace of the Sandoval County Personnel Rules and Regulation.
- Plans, directs, coordinates, and reviews the work of assigned staff/volunteers; assigns tasks and coordinates schedules, projects, and programs; provides constructive feedback; reviews and evaluates work and makes effective suggestions and recommendations.
- Coaches and motivates staff/volunteers; coordinates and/or provides staff/volunteer training; provides general advice and counsel to staff/volunteers; and may assist and/or provide input in the development of developmental staff work plans.
- Provides day-to-day oversight of program budgets and expenditures to ensure compliance with applicable rules and regulations.
- Develops, updates and recommends changes to program policies and procedures.
- Provides overall administrative support for the Volunteer Services Program including creating and preparing correspondence, arranging appointments, and preparing stipend timesheets; ensures that individual needs are assessed in accordance with program guidelines; prepares and submits grant requests to Sandoval County Community Services, State of New Mexico Aging and Long Term Services, the Corporation for National and Community Service, and Non Metro AAA; and represents the program and organization at health fairs, community events, United Way employee campaigns and at other attended events.
- Keeps manager updated and informed of all pertinent information related to job responsibilities; compiles various statistical information to meet state requirements; serves as a liaison between program management, volunteers, workstations, and clients; remains current and up-to-date on program schedule such as Foster Grandparent, Senior Companion, and Retired Senior Volunteer program; ensures program compliance with state and federal regulations; identifies and researches new program development opportunities and makes recommendation to program management.
- Recruits, retains, and trains volunteer staff for the Senior Companion, Foster Grandparent, Retired Senior Volunteer and Senior Employment Programs; gives presentations and talks with groups in an effort to recruit and gain support for the volunteer program; develops relevant training materials for program volunteers and volunteer stations; conducts required training; ensures that volunteer stations are public or private non-profit organizations or are an eligible proprietary healthcare agency capable of serving as a volunteer station; maintains current memorandum of understanding (MOU’s) with volunteer stations; and develops and strives to maintain positive working relationships with program volunteers and volunteer stations.
- Annually assesses the placement of volunteers to ensure their safety and assess their impact on community needs and programs; plans and implements a senior volunteer recognition events; provides orientation to all new volunteers covering program rules, paperwork, and training on various programs and functions; and makes presentations before senior center audiences, various civic groups and the general public to promote program interest and recruit interest in volunteering.
- Performs of variety of daily office and program support functions including responding to telephone and e-mail messages; returns telephone calls; checks calendar and schedules a variety of appointments; takes messages; tracks and maintains a variety of records including program budgets, stipends, timesheets, mileage logs, and meal reimbursements; maintains complete and accurate file system in accordance with state and county regulations; and transports volunteers to their respective work stations when needed.
- Provides assistance to all Sandoval County meal sites and senior sites by serving meals, assisting with paperwork and entering paperwork into program software or submitting to supervisor.
- Researches, plans and coordinates community outreach, program outreach and recruitment events; participates in Senior Services community programs and food pantries; visits program workstations; and assists workstations and meal sites when short staffed.
