SUMMARY:
The Office Manager is responsible for the overall smooth operation of the office, ensuring that administrative functions are carried out efficiently and effectively. This role involves a mix of administrative duties, office management, and human resources support. The Office Manager will work closely with all levels of staff and management to support the organization's goals and maintain a positive work environment.
ESSENTIAL FUNCITONS:
- Oversee day-to-day office operations, ensuring a clean and organized workspace.
- Manage office supplies inventory, including ordering and stocking.
- Coordinate maintenance of office equipment and facilities.
- Handle incoming and outgoing correspondence, including mail, emails, and phone calls.
- Organize and maintain filing systems, both electronic and physical.
- Assist with budget preparation and expense tracking.
- Process invoices, manage accounts payable and receivable, and handle petty cash.
- Liaise with external vendors and service providers.
- Plan and organize company events, meetings, and conferences.
- Arrange travel and accommodation for staff and visitors as needed.
- Act as a liaison between different departments and staff members.
- Facilitate internal communications and promote a positive work environment.
- Address employee queries regarding office management issues.
- Other duties as assigned
QUALIFICATIONS:
- Bachelor’s degree in Business Administration, Management, or a related field preferred.
- Minimum of 5-7 years of experience in office management, administration, or a similar role.
- Experience managing calendars for executive leadership
- 3 years of experience in organizing travel arrangements for leadership
- Strong organizational and multitasking abilities.
- Excellent verbal and written communication skills.
- Proficiency in MS Office (Word, Excel, PowerPoint) and office management software.
- Basic accounting and financial management skills.
- Problem-solving and decision-making capabilities.
