Event Coordinator (Entry-Level)
The event coordinator plans Sanshee’s various in-person events and conventions, working with other teams and individuals (both internal and external) in order to ensure each event is a success. The complexity around events requires a high level of organization, communication, and vigilance to prevent disruptions during events, and flexibility and real-time problem solving if and when unexpected issues do occur. Beyond diligence and planning, this role pairs with a love of community building and an ambition to create memorable experiences for the culture around Sanshee and its partners.
This position can be remote and is part-to-full time, starting at around 20 hours a week, with opportunities for later advancement. This opening is intended to be entry-level with an extended introductory period, and compensation starting at $20 per hour.
Requirements:
Available for part-time-to-full-time employment.
U.S. citizen located within the U.S.
Organization and advanced planning.
Clear, concise written and verbal communication.
Engaged interest in events within the Gaming/Pop Culture/Anime realm and the success of our community events.
Available and willing to attend conventions, shows, pop-ups, and events.
Weekend availability to account for weekend events.
Able and enthusiastic to travel to events by air or other means as needed.
Possession of a valid passport or willingness to obtain one.
Responsibilities
Monitor and respond to the Sanshee Events points of contact (such as email.)
Research, monitor, and book Sanshee events and event-adjacent needs such as transportation, lodging, venue services (e.g. electrical or wifi,) in a manner that maximizes preparation time and minimizes expense.
Coordinate with relevant teams on event layouts, floor plans, and booth optimization.
Order and monitor inventory levels of event equipment, marketing materials, supplies, etc, in coordination with the logistics team.
Collect, record, coordinate, and communicate event details to relevant parties, such as:
Load-out, and Load-in details.
Shipment deadlines and procedures.
Layouts, booth build instructions, and floor plans
Lodging and transportation.
Schedules.
Assess staffing needs and assist in the interviewing process for event staff.
Using past event data, ensure that staff has accurate and adequate stock for upcoming events.
Track statuses of relevant logistics such as shipments, transportation and respond to possible disruptions in a timely manner.
Provide support to staff during events remotely, when needed.
Evaluate and record event success, using verifiable metrics.
Seek out future events to participate in or host.
Pluses
Previous artist alley, exhibitor, or convention experience
Previous retail experience.
Comfortable driving a van or small truck.
Ability to commute to the Sanshee office, currently located in Bremerton Washington, if needed.
