JOB SUMMARY :
The Accounts Payable (AP) Manager is responsible for overseeing the company's accounts payable function, ensuring accurate processing of invoices, payments, and financial records. This role includes managing and mentoring a team of direct reports, fostering a collaborative and productive work environment. The ideal candidate is a detail-oriented professional who thrives in a fast-paced environment and has experience in managing AP functions, particularly in the senior care or healthcare industry.
RESPONSIBILITIES :
- Manage the end-to-end AP process, including invoice review, approvals, coding, and payment disbursement
- Ensure timely and accurate processing of invoices, expense reports, and vendor payments. Monitor and manage AP-related expenses to align with the budget and cost-containment strategies
- Maintain strong relationships with vendors, resolving discrepancies and payment issues promptly . Oversee the process of new vendor onboarding, and the annual review of previously established vendors
- Oversee the annual 1099 process- including gathering necessary vendor documentation, assessing the vendors meeting the attributes, generating the reports for upload to the 3rd party e-filing vendor, etc
- Supervise and mentor the AP team, providing guidance, training, and performance evaluations. Foster a collaborative team environment focused on continuous improvement
- Collaborate with internal departments to ensure proper expense allocation and approval workflows
- Ensure adherence to company policies, procedures, and regulatory requirements. Review and update AP policies and procedures to align with industry best practices
- Support audits by providing accurate and organized documentation of AP activities
- Utilize and maintain AP software systems, ensuring data accuracy and efficiency
- Generate reports and analyze AP metrics to identify trends and opportunities for process improvements
- Review and maintain vendor contracts to ensure compliance with agreed-upon terms and pricing, especially for essential services like medical supplies, food, and utilities
- Negotiate favorable terms with vendors to support the organization's financial goals
- Collaborate with billing teams to reconcile vendor expenses related to resident care and services
- Ensure that all vendor payments comply with healthcare industry regulations, including Medicare / Medicaid billing and reimbursements
- Identify areas to reduce costs without compromising vendor relationships or service quality
- Performs other duties as assigned
