Summary of Position:
This position provides significant support to the Human Resources team by performing a variety of administrative tasks and assisting with department initiatives. This position acts as the central point of contact for inquiries from employees at all levels of the organization. As the entry point to Human Resources, this position plays a key role in establishing an effective and positive workflow within the department.
Specific to support in Recruitment, this position will be responsible for the recruitment cycle (for select entry level positions) to include: screening applications, interviewing candidates, scheduling additional interviews with hiring managers and teams, coordinating offers of employment, and completing the onboarding process. The HR Assistant will be responsible for data entry associated with the applicant tracking system and other tracking mechanisms, ensuring data integrity in all transactions. The HR Assistant also participates in process improvement initiatives as it relates to recruitment, onboarding, and orientation of new employees.
Primary Job Responsibilities:
Application / Applicant Screening: Conducts preliminary phone screens as requested to assess candidate qualifications and skills are aligned with the position requirements. Also screens for schedule, salary requirements, customer service orientation, and level of interest in the position.
Scheduling: Schedules interviews for all positions by coordinating schedules for the applicant and interview team. Ensures all stages of the interview process are accurately captured in applicant tracking system and associated vacancy report. This includes scheduling applicants for job-specific testing when needed.
Interview and Selection: Interviews and recommends qualified applicants and assists hiring managers in the selection process. Determines salaries according to compensation policy and guidelines. Coordinates internal transfers/promotions and assists with referral programs. Reviews and approves all new hire rates of pay within existing structure ensuring compliance with established policies.
Onboarding and Orientation Support: Notifies hiring managers and appropriate internal staff of offer acceptance and tentative start date. Ensures background checks are complete within appropriate timeframes. Provides offer letter, new hire paperwork, and other pertinent information to new employees prior to first day of work. Assists new employees with the completion of onboarding paperwork. Enters new hire information into HR systems. Organizes new employee files and coordinates orientation schedule.
Sourcing: Posts positions to the Saratoga Hospital website and job boards as approved through internal process. Ensure that positions description and qualifications are used.
Customer Service: Greets all customers, prepared for questions and problem solving. Answers incoming calls and responds to routine inquiries or routes calls to appropriate HR representative. Maintains inventories of HR forms and assists employees with form completion, ensuring completeness, thoroughness and timely submission. Coordinates ordering and inventory of supplies and other resources.
Contract Employees: Ensures temporary help requests are approved and processed in a timely manner, and acts as a liaison with the temporary agencies.
Minimum Qualifications: Minimum of High school diploma or GED required. Bachelor’s degree strongly preferred. Associates degree and relevant work experience may be considered in lieu of Bachelor’s degree.
Minimum of 2 years of experience in related administrative support role.
Salary Range: $17.25 - $25.87
Pay Grade: 15
Compensation may vary based upon, but not limited to: overall experience and qualifications, shift, and location.
