Job Summary:
The Practice Assistant provides administrative and legal support to attorneys in the Labor & Employment section, assisting with litigation matters to ensure efficient workflow and exceptional client service. Primary responsibilities include document preparation, court filings, scheduling, and maintaining client files. This role is essential to maintaining operational efficiency in a fast-paced legal environment and requires significant litigation experience, including familiarity with state and federal court procedures.
Key Responsibilities:
- Draft, type, proofread, format, and edit legal documents, including correspondence, pleadings, and agreements, under time-sensitive deadlines.
- Assist with e-filing in state and federal courts, ensuring compliance with filing procedures and court rules.
- Open and manage new client and matter files using firm-specific software.
- Maintain and update client files and emails in the firm’s electronic document management system.
- Schedule appointments, depositions, and meetings; arrange travel; and set up conference calls and video meetings.
- Provide deadlines to docketing systems and confirm proper tracking of litigation deadlines.
- Assist with client billing, including invoice preparation and handling collection issues.
- Prepare and submit expense and reimbursement reports.
- Manage and prioritize incoming mail, reviewing and calendaring important deadlines.
- Collaborate with document services for production projects.
- Stay updated on practice-specific laws, rules, and procedures.
- Communicate with witnesses, clients, opposing counsel, and colleagues, as directed.
- Conduct basic legal research and analysis.
- Maintain accurate databases, including the firm’s marketing CRM system.
- Efficiently organize and prioritize multiple assignments for various attorneys.
- Perform other duties as assigned.
Minimum Education & Experience Requirements:
- High school diploma required; college degree preferred.
- At least five years of litigation experience in a law firm.
- Knowledge of one or more specific practice areas, including relevant rules, laws, and court filing procedures.
Special Requirements:
- Proficiency in Microsoft Word, Outlook, and Excel.
- Familiarity with document management systems such as NetDocs is a plus.
- Ability to work overtime as needed.
