Job Summary:
A respected regional law firm is seeking an experienced Executive Legal Assistant to provide high-level administrative and legal support to multiple Litigation and Corporate attorneys. This position plays an essential role in maximizing attorney efficiency, managing casework and deadlines, and ensuring the highest level of client service and operational excellence in a fast-paced legal environment.
Key Responsibilities:
- Provide proactive, high-level secretarial and administrative support to multiple shareholder-level attorneys.
- Screen and prioritize incoming calls and emails, transcribing or redirecting as appropriate and coordinating timely responses.
- Manage complex attorney calendars, including scheduling depositions (virtual and in-person), court deadlines, client meetings, conference calls, and appointments with accuracy and attention to detail.
- Prepare and maintain attorney case lists, contact lists, and schedules for client communication.
- Draft, proofread, redline, format, and edit correspondence, pleadings, memoranda, agreements, and other legal documents under time-sensitive deadlines.
- Professionally greet and manage communication with clients and office guests, acting as a direct liaison when attorneys are unavailable.
- Prepare and file pleadings, briefs, and other court submissions.
- Provide expert-level support using CM/ECF, document management systems (NetDocs or similar), and firm-standard legal software.
- Enter and track attorney time; assist with billing matters including invoice preparation and review of time entries for accuracy.
- Coordinate travel arrangements, including processing expenses and reimbursement requests.
- Maintain client and contact information within the firm’s marketing CRM system.
- Maintain well-organized paper and electronic files for attorneys and clients, including email and document organization.
- Draft and distribute internal memos, reports, and meeting agendas as needed.
- Handle confidential documents with professionalism and discretion.
- Create and submit expense reports using the firm's accounting systems (such as Concur).
- Support document production, filing, and litigation support requests in collaboration with firm teams.
- Assist in preparing presentations and production projects.
- Work collaboratively with other legal assistants, paralegals, and practice support staff across practice groups and office locations.
Minimum Education & Experience Requirements:
- High school diploma required; bachelor’s degree preferred.
- Minimum of 7 years of experience as a Legal Assistant, Executive Assistant, or Legal Secretary in a law firm environment.
- Proven knowledge of litigation processes and electronic court filing (CM/ECF).
- Prior experience with practice-specific court rules, legal documentation, and filing procedures.
Special Requirements:
- Prior experience using document management systems (NetDocs preferred).
- Ability to work overtime as required.
Knowledge, Skills, and Abilities:
- Proficiency with Microsoft Office Suite, including Word, Outlook, Excel, and other document processing systems.
- Strong knowledge of litigation procedures and legal administrative practices.
- Excellent organizational skills with the ability to manage multiple deadlines.
- Strong written and verbal communication skills, with professional client-facing demeanor.
- Ability to problem-solve and anticipate issues.
- Ability to manage confidential information responsibly and with discretion.
- Exceptional attention to detail, time management, and the ability to work under pressure.
- Ability to work both independently and collaboratively in a team environment.
Additional Desired Characteristics:
- Prior experience supporting senior-level attorneys in corporate or litigation practice groups.
- Familiarity with CRM systems for managing client contact information.
- Proven ability to balance multiple priorities and handle shifting workloads.
Work Environment:
- Office-based position located in the Northeast Region, with occasional overtime as needed based on deadlines or client demands.
- Hybrid or flexible work arrangements may be available in alignment with firm policy.
